Job Description

Job Title: Assistant to Catechetical Ministries Status: Part Time
Exemption status: Non-exempt Salary Grade: 21

Primary Function: Under the direction of the Pastor and/or Office Manager, the assistant works independently to provide administrative support to the catechetical, sacramental, and liturgical ministry staff, including the Pastor, Pastoral Associate, Director of Religious Education & Youth Ministry. The Employee shall be a minister of the Gospel and Catholic Teaching both academically and behaviorally while at work and in his/her personal life, “…Live in a manner worthy of the call you have received.” (Eph. 4:1)
Essential Duties and Responsibilities:
  • Recognize and support the unique Catholic Mission of the Diocese by speaking, acting, and instructing consistent with the teachings of the Roman Catholic Church. The employee may not espouse, in word or deed, any doctrine inconsistent with the teachings of the Roman Catholic Church.
  • Give evidence of living Gospel values by being an active member of a faith community and being open to the importance of a personal faith journey; strive to model the teaching of Jesus by attitude and example.
  • Open the Parish Education Office Wednesday through Friday from 9:00am to 5:00pm.
  • Serve as clerical support to the catechetical and sacramental ministers, to include the Pastor, Director of Religious Education & Youth Ministry, and Catechesis of the Good Shepherd Coordinator.
  • Gather, verify, and maintain sacramental preparation records for baptisms, first communions, first reconciliation, confirmation and RCIA.
  • Maintain the parish formation in Parish Data Systems Formation program, including registrations for all programs in Elementary RE (& CGS), Youth Ministry and Adult Ministry. Collect and record fees for all programs, and prepare billings as needed.
  • Prepare and copy weekly bulletin.
  • Respect and protect parishioners’ privacy in handling their personal information.
  • Create and produce numerous reports, letters, flyers, certificates, and programs as requested. Compose and prepare confidential correspondence as needed.
  • Provide back-up to the receptionist by: Open the Parish Office when needed from 9:00am to 5:00pm.
  • Make coffee when needed.
  • Stamp outgoing mail / Sort incoming mail.
  • Answer the phones. Sending all calls to the appropriate staff or answering the parishioner’s questions.
  • Greet parishioners, scheduling mass intentions, selling tickets and CDs, and answering questions as needed. (Make sure you get the name and phone number of individuals who require someone to respond to them.)
  • Maintain confidentiality on all parish matters including sensitive parish information.
  • Perform other duties as assigned.
Physical/Mental Requirements: Requires coordination and manual dexterity, normal mental and visual ability; ability to lift as required in a normal office environment.
Required Activities: Walking, sitting, standing, stooping, reaching, talking, handling, hearing, carrying, and keyboarding.
Basic Qualifications:
  • Must have a working knowledge of and a strong commitment to the mission of the Diocese and Catholic Church; be in full communion with the Church.
  • General knowledge of all other office equipment, including printers, scanners, telephones, and copiers
  • Employ flexibility and follow direction; pay attention to detail.
  • Be a team player and self-motivated; display initiative in performing tasks.
  • Perform multiple tasks simultaneously and work with a sense of urgency.
  • Exercise courtesy to fellow employees, parishioners, and general public
  • Clean and neat personal appearance
  • The ability to complete a criminal history and background check.
  • Communications skills, both oral and written
Education and Experience:
  • A high school graduate or equivalent experience.
  • A minimum of five years’ experience in a high activity office environment as an administrative assistant or executive secretary.
  • Strong knowledge of catechetical programs of parish and understanding of their administrative needs.
  • Strong Proficiency in using Microsoft Office Suite, including Word, Excel, Publisher, and PowerPoint.
  • A creative spirit to produce appropriate and appealing signs, postcards, flyers, posters, name tags and bulletin announcements.
  • Strong knowledge of database management programs.
Other/Preferred Skills:
  • Bi-lingual (English, Spanish)
