Job description

This job is for you if you like: cats (doi), advocating for animals and sharing resources with customers, making coffee and cocktails, creating a space that makes everyone feel welcome, and having a variety of tasks in your workday. The Assistant Manager supports the General Manager in the daily operations of Gem City Catfe to keep things running smoothly. This role involves being hands-on with day-to-day duties at the Catfe, as well as providing management and coordination between our team members to ensure everyone feels supported at work. You’ll facilitate clear communication and help solve problems quickly.

All basic duties are shared so you will help with assisting customers, making drinks, cat care, adoption questions, and general cleaning. As a key-holder, one weekend shift is required. Coffee knowledge is not required and no prior animal welfare experience is necessary!

Responsibilities:

MANAGEMENT:

  • Plans, identifies, communicates, and delegates appropriate responsibilities and practices to team members to ensure a smooth flow of operations.
  • Quickly and appropriately notifies the general manager about situations that are not easily resolved immediately.
  • Manages with integrity, honesty, kindness, and knowledge that promotes the culture, values, and mission of Gem City Catfé. Listens to team members’ concerns and provides support to ensure everyone has what they need.
  • Demonstrates a calm demeanor during periods of high volume or unusual events and manages smooth transitions thereafter to keep the store operating to standard and to set a positive example for the team.
  • Assists with the hiring process including responding to applications, participating in interviews, scheduling training, and supporting new staff members during the onboarding process.
  • Maintains digital and paper personnel records.

STORE OPERATIONS:

  • Able to perform all POS duties, front and back of house functions, including opening and closing procedures.
  • Manages and orders coffee & bar inventory, including weekly pickups from vendors who do not deliver and filing receipts from purchases.
  • Creates rotating seasonal menu for lattes & boba teas.
  • Promotes and practices safe work habits, identifying and resolving potential safety hazards, operational inconsistencies, and any team member or customer incidents. Documents accidents, conducts initial investigation and determination of root cause in the interest of maintaining a safe work environment.
  • Proactive in solving customer problems and satisfying customers in various situations.
  • Maintains high cleanliness standards consistently throughout the store in the areas of store appearance, merchandise, and equipment.

TRAINING AND DEVELOPMENT:

  • Assists with writing and scheduling team member reviews which provide clear feedback and ways to help team members grow their skills and enjoy their time at work.
  • Provides ongoing training and development (as needed) to all team members in the areas of operating standards, customer service, and product knowledge.
  • Builds morale and team spirit by fostering a work environment where team members' input is encouraged and valued.
  • Coaches and counsels team members for improved performance, documenting developmental plans as necessary.

SHELTER MANAGEMENT:

Works with the Cat Care Coordinator to achieve the following standards, delegating tasks appropriately and assuring they are completed satisfactorily:

  • Ensures the safety and sanitation of kennels and adoption areas to protect the health of both animals and people. Investigates employee accident reports. Responsible for ensuring that policies and procedures are followed.
  • Ensures that accurate and complete records for Gem City Catfé animals, adoptions, staff and volunteers, safety policies, and facility maintenance are maintained as required by Gem City Catfé policies, city contracts/ordinances, and state and federal laws.
  • Works outside of regular shift hours to provide backup care for animals in extenuating circumstances.
  • Assesses the general health of the cats on-site on a regular basis for signs of stress, illness, injury, aggressive tendencies (either towards humans or other animals) and abnormal behaviors. Reports any significant physical, behavioral or emotional issues immediately.
  • Ensures animals are cared for daily to include proper feeding, watering, shelter and monitoring for signs of disease, injuries, and abnormal behavior. Maintains all animals in a clean, comfortable living environment, and ensures animals are provided veterinary care and treatment in a timely fashion. Performs the duties of an animal care worker as needed.
  • Ensures accurate records are kept for each animal including: animal population each day, adoption records, current health observations and treatment & behavior records and cage/kennel cards.
  • Ensures that any socialization and training of Gem City Catfé cats on site to provide enrichment or increase their adoptability is done in accordance with accepted humane handling techniques and advice from Gem City Catfé-approved animal behavior specialists.
  • Facilitates maintenance tasks for the shelter facility to keep it a safe and clean environment for animals, staff, volunteers, and visitors. Ensures that all equipment used in the operations of the shelter facility is maintained in proper, safe working order.
  • Oversees the maintenance and upkeep of buildings, grounds, machinery and equipment.

COMMUNITY ENGAGEMENT:

Works with appropriate team members to achieve the following standards, delegating tasks appropriately and assuring they are completed satisfactorily:

  • Develops and maintains positive, professional relationships with the public, staff, rescue partner, veterinary staff, volunteers, and others. Answers phone calls and emails.
  • Works with Gem City Kitties staff members to coordinate animal receiving, foster pick-up or drop-off, and adoptions.
  • Promotes the Gem City Kitties adoption program. Provides accurate information about adoptable animals and ensures web-based list of adoptable animals is kept up-to-date.
  • Meets and displays professionalism with civic groups, schools, special interest groups, other businesses, and the media about programs and activities, and to educate the public about responsible pet ownership and animal welfare concerns.
  • Protects Gem City Catfé public reputation through all interactions, including social media.
  • Schedules private events and works with artists to schedule rotating galleries in the upstairs gallery space.

REQUIREMENTS:

  • Must have a deep concern for the humane treatment and compassionate care of animals.
  • Two years of management or supervisory experience.
  • Ability to communicate clearly, directly, and kindly.
  • Ability to manage store operations independently with strong problem-solving skills.
  • Organized with the ability to plan and prioritize workload and use time efficiently.
  • Must be able to work with various personalities, ethnicities, social and age groups, and maintain tact and professionalism at all times.
