Position Description

Position Summary

Under the general direction of the Associate Registrar, Campus Support, the primary responsibilities of the Assistant Registrar, Campus Support are informing and assisting the Office of the Registrar leadership team with strategic planning and campus communication for the Office of the Registrar. Disseminating information on registrar policies and procedures to the campus advising community and conducting regular training sessions to ensure advisors are up to date with any changes in policies and procedures. Advising students on Registrar policies and procedures and assisting students in navigating complex academic issues and challenges. Oversee and monitor academic advising referrals and cases through SDSU Navigate (EAB) and utilizing analytics from SDSU Navigate to identify trends, areas of improvement, and opportunities for enhanced support. 

The Assistant Registrar will be responsible for the daily operation of the Registration Services Unit including leading and training new employees, disseminating information to keep staff abreast of changing policy, and being a resource for complex academic issues presented during in person and virtual support services.

This is a full-time (1.0 time-base), benefits eligible, permanent/probationary position. This position is designated exempt under FLSA and is not eligible for overtime compensation. Standard SDSU work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.

The individual hired into this role will work on campus at SDSU in San Diego.

Department Summary

Enrollment Services is comprised of Undergraduate and Graduate Admissions, Office of the Registrar, Prospective Student Services, Out of State, Specialized and International Recruitment, and Enrollment Services Communications. Enrollment Services implements SDSU enrollment management policies and provides services to students from their initial point of interest in SDSU to their graduation.

The primary function of the Office of the Registrar is to represent enrollment management programs and provide enrollment services to various constituents across the university in regards to the student academic record, academic class scheduling, and student advising tools. The Office of the Registrar provides service to the students through determination of eligibility for admission to the University, evaluation of academic records to determine the status of completion of degree requirements, assistance with course registration, and advising on the academic record in relation to transfer credit or CSU/SDSU policy. 

The Office of the Registrar is comprised of over 40 individuals of varying classifications, including three managers and three Assistant Registrars across four distinct units.

Education and Experience

Equivalent to graduation from a four-year college or university in a related field plus upper division or graduate course work in counseling techniques, interviewing and conflict resolution where such are job related.

Possession of the below required knowledge and abilities is typically demonstrated through the equivalent to four years of progressively responsible professional Student Services work experience which includes experience in advising students individually and in groups, and in analysis and resolution of complex Student Services problems.

A master's degree in Counseling, Clinical Psychology, Social Work or a job-related field may be substituted for one year of professional experience. A doctorate degree and the appropriate internship or clinical training in counseling, guidance or a job-related field may be substituted for two years of the required professional experience for positions with a major responsibility for professional, personal or career counseling.

Key Qualifications

  • Five years of experience in interpreting and explaining academic policies governing public or private university admissions is preferred.
  • Five years of experience working in a college or university's admissions, advising, evaluations, registrar or other student service-related office is preferred.
  • Three years of experience in interpreting and explaining certification policies of the CSU and California community college systems is preferred. 
  • Experience with a college/university's student information system.
  • Demonstrated experience using a degree audit system and academic advising notes and scheduling system.
  • Demonstrated experience reviewing college transcript information.
  • Ability to calculate grade point averages.
  • Thorough knowledge of barriers for students from underrepresented groups.

Compensation and Benefits

Starting salary upon appointment is not expected to exceed $5,732 per month. 

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.

CSU Classification Salary Range: $5,732 - $8,176 per month.
