GENERAL JOB SUMMARY
The primary function of the Assistant Registrar is to provide support to the Director of Accountability. These duties include the maintenance of student records, data entry, data disaggregation and support to the counseling department. The Assistant Registrar provides a pivotal role in school compliance.
ESSENTIAL QUALIFICATIONS
Education/Certification:
- Associate's degree; Bachelor's degree preferred.
Experience:
- Four (4) years clerical experience; school office experience preferred.
- Must be legally able to work in the United States.
- Must complete the state-required fingerprinting and criminal background check.
- Must comply with TEA regulations, applicable federal, state, and local laws, school policies, and standards of the Professional Code of Ethics and Standard Practices for Texas Educators.
Required Knowledge/Skills/Abilities:
- Ability to maintain accurate and auditable records.
- Ability to use software to develop or maintain spreadsheets and databases and do word processing.
- Ability to work cooperatively with others.
- Must display strong organizational, communication, and interpersonal skills.
- Must be able to multi-task and prioritize.
- Must be able to work autonomously as well as a member of a team.
PERFORMANCE RESPONSIBILITIES
- Shares a strong commitment to the success of the mission, goals, and objectives of the school.
- Assists the Director of Accountability with state reporting.
- Maintains student records and ensures student records are up to date.
- Processes new student records, including requesting transcripts and records from other schools, setting up cumulative folders, and entering student data into appropriate databases.
- Coordinates grading process, including verification and correction of grades.
- Assists the counseling department with the course selection process and scheduling.
- Enters student course selection data into Student Information System.
- Schedules 504 meetings and coordinates 504 meetings with participants' schedules.
- Manges lottery system and communicates with lottery parents.
- Maintains confidentiality of student records.
- Provides clerical assistance as required.
- Participates in professional development, faculty meetings and special events as required.
- Utilizes effective communication skills to present information accurately and clearly.
- Communicates regularly and appropriately with stakeholders.
- Ensures that all interactions are supportive, courteous, and respectful.
- Manages the programming of doors.
- Accepts and implements constructive suggestions or criticisms in a professional manner.
- Utilizes technology to maximize impact on school success.
OTHER DUTIES
- Performs other duties as assigned by the Director of Accountability or Head of School.
- Attends Board meetings as and when required.
EVALUATION
Performance of this job will be evaluated at least annually by the Director of Accountability.
