The Omaha Housing Authority is a Non-Profit Government Agency based in Omaha and established in 1935. Omaha Housing Authority contracts with HUD to provide safe and sanitary housing to low and moderate-income individuals through rent subsidies and administers over 2700 public housing units and up to 4,300 Housing Choice (Section 8) Vouchers.

Salary Range

$36,461 - $49,233

Job Function

Support the daily operations of property management by performing administrative tasks, assisting with leasing, rent collection efforts and handling resident relations. Responsible for inspecting property conditions and coordinating maintenance work order requests. Promote compliance with Omaha Housing Authority (OHA) policies and procedures to residents on daily basis.

Essential Functions

  • Assist with showing properties and developing positive relationships with prospective and current residents. Follow up with new residents following move-in and assist with resident retention activities.
  • Aid in enforcing occupancy policies and procedures. Explain leases and OHA policies and procedures to residents.
  • Respond to routine inquiries concerning operations. Address and resolve residents' questions, concerns, and complaints in a timely manner. Report any problems or issues to the Property Manager.
  • Collect rent payments and maintain accurate records for rent and other charges. Review accounts receivable and following up on collection efforts, including issuing reminders, notices and escalating when appropriate. Make bank deposits as needed.
  • Prepare lease agreements and other move-in paperwork. Types a variety of confidential correspondence, reports and other materials as requested.
  • Input information into computer system for generation of work orders for repairs or maintenance, including the generation of work orders as a result of inspections, extermination and closing out work orders as needed.
  • Prepare monthly maintenance, extermination and inspection notices for tenants. Hand deliver or mail legal notices and other correspondence to residents when necessary.
  • Order office supplies, request purchase approval and notify vendors when maintenance or service is needed for office equipment as requested.
  • Opens all incoming mail, date stamps and distributes to appropriate personnel.
  • Assists with preparation of weekly and/or monthly department reports.
  • Maintain organized and updated resident files and records and related databases. Assist with the completion of documentation for resident files, including ensuring that move-in and move-out files are complete and orderly.
  • Assist the Property Manager with monitoring monthly and annual budget performance.
  • Provides leadership and direction to other property management staff in the absence of the Property Manager.
  • Must clearly understand all aspects of the policies and procedures of OHA and effectively communicate them to the residents. Frequent contact with all OHA departments.

Additional Responsibilities

  • May assist with special projects.
  • May work weekend and evening hours.
  • Participate in a rotating schedule to respond to after-hours emergency calls.
  • Other duties as assigned.

Qualifications

  • High school diploma/GED or equivalent is required. Associates degree in Business Administration or a related field is preferred.
  • A minimum of two years’ experience in property management, real estate, customer service, business administration or a combination of experience and training.
  • Working knowledge of industry standards and regulations, including lease agreements, effective tenant recruitment and managing repairs.
  • Must have computer skills and proficiency using Microsoft Office products.
  • Excellent interpersonal and conflict resolution skills. Ability to interact and communicate effectively and professionally with tenants, vendors and maintenance team.
  • Ability to work independently to complete assignments with minimum instruction.
  • Must have strong organizational and time management skills.
  • Must have the ability to understand oral and written communications.
  • Must possess and maintain a valid motor vehicle operator’s license and be insurable under the OHA Auto insurance policy.
  • Ability to establish and maintain effective working relationships with co-workers, consultants, contractors, HUD, local, state, federal officials; ability to communicate with people from a broad range of socio-economic backgrounds.

Working Conditions

Work is performed in and office setting amid normal conditions of dust, odors, fumes, and noises and involves considerable public contact. The noise level in the work environment is usually moderate.

Abilities

Ability to sit, stand and walk up to 100% of the time; and reach stoop, squat, push, pull and type up to 25% of the time. Ability to move objects weighing up to ten (10) pounds up to 33% of the time. Requires ability to move throughout OHA property sites.
