Position Title:     Assistant Facilities Manager
Reports To:         Facilities Manager
Position Summary:  
Assists the Facilities Manager in the maintenance, care, and efficient operation of all facilities, including equipment used by the organization.

  • Communicates regularly with Officers, managers & Supervisors about the different divisions and department’s issues
  • Consistently be on time for work, meetings and appointments and deliver work projects by assigned due dates
  • Maintain assigned work areas in a clean and orderly fashion
  • Maintain and ensure the safety of all assigned equipment
  • Perform all duties in conformance to appropriate safety and security standards
  • Meet productivity goals and quality standards as set by management


Essential Duties & Responsibilities :
Toolroom

  • Issue, Accurately Track, and Ensure Return of company issued tools
  • Maintain tool inventory, repair, or replace damaged tools swiftly and promptly
  • Establish and maintain par levels of consumables that are tracked in Inventory to ensure never running out
  • Establish and Maintain procedures for proper receipt, inspection, labelling, storage, and distribution of incoming freight (CFM).  Include proof of requisitioner notification
  • Make certain items in the toolroom are ready for issue (tools work, hoses have been inspected, manifolds have proper fittings and working valves, fire extinguishers are properly tagged and current, etc.)
  • Maintain cleanliness and organization of the toolroom/warehouse

Property Systems

  • Establish and Maintain procedures for proper receipt, inspection, labeling, storage, and distribution of incoming freight (CFM).  Include proof of requisitioner notification
  • Establish and maintain period inspection records for Fall Protection, Rigging Gear, calibrated equipment
  • Establish and Maintain procedures for Paint Receipt Inspection, including deadline to complete

Security

  • Create responsibility checklist for Security personnel, ensure they are properly trained, monitored and held accountable
  • Assign tasks to Security personnel to assist in the maintenance of the property, equipment, and other company assets

Trucking Coordination

  • Prioritize equipment, supply and material runs
  • Analyze required trucking for maximum efficiency, rent a larger truck if necessary, schedule outside trucking if necessary
  • Be sure fuel deliveries are incorporated with supply and material runs to job sites when necessary
  • Be sure drivers have point of contact names and phone numbers at pick-up and drop-off sites.  Determine if forklift or crane is available to assist with loading and/or offloading.
  • Determine if chain of custody paperwork should accompany delivery, provide if necessary
  • Performs other related duties as assigned.

Supervisory Responsibilities:

  • Oversees the daily workflow, scheduling, and assignments of the equipment and facilities department.
  • Conducts performance evaluations that are timely and constructive. 

Qualification/ Requirements:

  • Basic understanding of or ability to quickly learn the equipment and facilities to be maintained.
  • Ability to maintain basic records and warranties.
  • Ability to understand specs, written directions in manuals and on manufacturer websites.
  • Proficient with Microsoft Office Suite or related software as required to complete and maintain records.

Education, Training and Experience:

  • High School Diploma or equivalent
  • Experience managing the company’s type of materials, equipment, and tools
  • Shipyard/Industrial Experience valuable
  • Scheduling or Planning experience desired
  • Knowledgeable in Microsoft Office Programs

Physical Requirements:

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 50 pounds at times. 
  • Must be able to access and navigate all areas of the facilities.
  • Must be able to access all parts of the company equipment.

Additional Information:

  • Must show proof of your legal right to work in the United States
  • This position requires US Citizenship due to clearance required for base access
  • Must be able to successfully obtain a Transportation Worker Identification Credential (TWIC)
  • Must be able to successfully obtain a Defense Biometric Identification System (DBIDS) Credential to gain access to federally controlled work sites
  • All candidates must submit to and pass a post-offer drug screening and a background check before employment begins. Failure to complete any of these steps will result in disqualification
  • Valid State of Hawaii drivers’ license in good standing, class 3 or higher
  • Candidates must have access to reliable transportation to get to work and other job sites on time for the start of shift
