Summary:

The position of Assistant Director of Admissions is responsible for functional operations within the Admissions Office. These functional operations include: development and implementation of budgets; recruitment strategies; new student admissions and orientation, records maintenance; enrollment verification, and international student recruitment, enrollment and orientation. This position reports to the Director of Admissions and Financial Aid.

Responsibilities:

The Assistant Director of Admissions serves prospective students, all applicants, all current students (both credit and non-credit), former students, faculty, staff, administration and the general public with an emphasis on prospective and new students. These constituencies are served in person, by phone/fax, by mail and by electronic communication including social media. This department serves as the information hub and often the first contact point with the public. Numerous publications are also developed from this office to provide current and promotional information to our various audiences.

Essential Duties:

  • Supervise, train and evaluate Admissions Staff and Student Ambassadors
  • Participate in the College’s Strategic Enrollment Management Committee to ensure campus-wide involvement in the development and implementation of the enrollment management plan
  • Plan and implement an effective admission process and recruitment plan in collaboration with the Director of Admissions and Financial Aid, Strategic Enrollment Management Committee, and faculty
  • Ensure communication and distribution of information to regional high schools, other strategic distribution points and prospective students
  • Oversee communication templates, campaigns and communication plans
  • Work closely with Public Relations to develop published materials, and correspondence to traditional and non-traditional students
  • Collaborate with the Athletic and International Student Coordinator in the admission and monitoring of international students as well as maintaining current information on INS rules and regulations
  • Oversee the planning and implementation of New Student Orientation and Welcome Week activities and other promotional events
  • Establish guidelines and training for exceptional customer service
  • Comply with FERPA regulations and maintain integrity of confidential materials
  • Administer Budgets
  • Participate in the Wyoming Admissions Officers Organization, and other campus, professional and community organizations

Work Environment:

Typical work environment is an office setting requiring normal safety precautions. Extensive interaction with the public is required. Short periods of time will be spent outdoors traveling between campus buildings in various weather conditions. Travel is required for this position, during which time the employee will be subjected to various environmental and weather conditions. Work is usually performed during the normal workday however, early morning; late evening and weekend work is required during periods of critical attendance to meet the peak periods related to position responsibilities and requirements of the Enrollment Services department.

Physical Demands:

Employee is regularly required to sit and stand for long periods of time, speak, hear, use hands and fingers to handle materials and use computer, feel, and reach with hands and arms. Occasional lifting of up to 25 pounds may be required; less frequent lifting of up to 50 pounds may be required.

Minimum Qualifications:

  • Bachelor’s degree required; desirable fields of study include Communication, Marketing, Student Services or related fields
  • Minimum of 3 years’ experience in a leadership role
  • Proven planning, management and administrative skills
  • Ability to provide quality customer service, effectively organize and prioritize work, maintain a high degree of confidentiality, and work with accuracy and attention to detail
  • Excellent communication skills and the ability to relate to relate to prospective students from underrepresented populations
  • Experience with Microsoft Office, general office equipment, customer relationship management (CRM) and other related software applications, and social media
  • Ability to occasionally travel
  • Valid Wyoming Driver License, with good driving record

Desired Qualifications:

  • Master’s Degree in relevant field
  • Three years' experience in a post-secondary education field
  • Experience working with integrated computer systems
  • Previous work experience in an academic, admissions, student records, financial aid, or enrollment services area
  • Experience in college admissions, records, or student services
  • Knowledge of:
    • Community College Commission rules, AACRAO & NACAC guidelines, Federal and State regulations
    • Financial aid, program award procedures, award notification process, and continuing award eligibility requirements
    • FERPA rules and regulations
