The Assistant Business Operations Manager (ABOM) is responsible for managing a team of Business Office Associates. The ABOM collaborates with other teams including Sales, Service Operations, Merchandising, Logistics, and Customer Experience Centers (CECs) to create an iconic associate and customer experience aligned with CarMax culture.
Essential Duties and Responsibilities:
- Manages and oversees team of, generally, 10 – 30 associates to ensure an iconic customer experience is delivered through all internal and external interactions of buying and selling a car
- Provides direction to the Business Office Associates through people management activities, such as conducting job interviews, onboarding and training new associates, delegating store operations tasks, and providing performance feedback
- Develops associates through timely and effective feedback, to include observations, file reviews, development plans, and performance management
- Participates in the rotation of the “Manager on Duty” role – responsible for delegating and directing the business office workflow, answering questions related to transactions, handling customer issues/concerns and following up on delegated business office work tasks
- Manages associates in processing daily sales tasks, including printing daily reports, maintaining deal jackets, contacting finance companies regarding contracts, obtaining required information regarding registration and titling, and auditing completed paperwork
- Manages associates in processing daily purchase tasks, including title collection calls and follow up, obtaining proper paperwork and signatures from customers and sending appropriate documentation to for funding of drafts
- Manages associates in processing state DMV paperwork, including paperwork necessary to title and register a vehicle for a customer after the sale
- Reconciles several accounts like sales audit, credit cards, customer deposit, and mail refund
- Assist store associates and all store departments in their daily functions while adhering to CarMax guidelines
- Responsible for learning, teaching, and managing business practices to follow all federal, state, and local regulations
- Builds and maintains relationships with state and/or local agencies and other vendors, as needed to conduct business
Qualifications:
- Multi-task in a high energy, fast-pace work environment
- Speak, listen, and write effectively in interactions with customers and associates across departments
- Train, coach, and develop associates through encouragement and feedback
- Read, interpret, and transcribe data in order to maintain accurate records
- Completion of CarMax provided training
Working Conditions:
- Combination of both office and outdoor environment; may include working at times in noisy and/or inclement weather conditions.
- Rotating schedule with shifts that will include nights, weekend, and holidays
- Occasional travel for meetings, training, and special assignments
- Flexibility to work at multiple locations or relocate
- Wear CarMax clothing (acquired through the company) at all times while working in the stor
