The Administrative Assistant manages multiple tasks and workloads, such as assigned company projects, preparing statistical reports, participates on plant teams, champions plant initiatives, plant purchases, orders plant production materials as needed, ensures deliveries, and organizes company sponsored celebrations.
The Admin Assistant also provides high-level administrative support by handling requests, and performing clerical functions such as supporting department managers, preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. The Administrative Assistant is a back-up for other department assistants during absences, and assists other Admin Assistants with plant initiatives.
The responsibilities are guidelines for managing day to day activities & balancing initiatives / projects work load.
They include:
Able to progress projects by interacting with a wide range of individuals to frame project needs, define success and deliver results.
Strong interpersonal skills
Works independently, receives minimal guidance; acts as a resource for colleagues with less experience.
Applies practices and procedures that have clear precedents and/or operational guidance.
Arranges equipment / facilities for meeting (lunches & refreshments, if required)
Schedule Meetings and Dialogs
Maintain Purchasing Cards and statement reconciliations
Ordering of plant production materials and office supplies
Preparation of weekly and monthly plant statistical reports
Mail Room
Arrange travel Domestic and International
Expense reporting
Visitor notification (prepare guard notifications for outside visitors and vendors)
Company owned pool vehicle(s)
Register employees for training or pay for membership
Work with vendors on purchasing items
Purchasing promo items, safety gifts, employee recognition gifts
High School diploma or equivalent
A minimum of 5 years' experience
Working knowledge of Microsoft Office Suite

Excellent communication and organizational skills.
Administrative, inventory, or accounting experience
High proficiency in a PC Windows environment and/or SAP software applications.
