Job description

Summary:

The Administrative Assistant supports the Asset Management Department in all day-to-day administrative functions in overseeing third party management firms. In addition, this position will support Asset Management’s internally managed assets. This role will also interact with individual property managers to provide and gather information; and tenants to assist with resolving issues.

The position duties and responsibilities listed below describe the general nature and scope of work. Other responsibilities, duties, and skills may be required and assigned as needed.

▪ Collect weekly, monthly, quarterly, and annual reports and transfer data onto Asset Management tracking templates.

▪ Maintain all records including electronic files in an organized manner, following filing systems already established by department.

▪ Keep record of code violations and communicate with managers when due date approaches and report concerns to supervisor.

▪ Follow-up on resident and County agencies complaints with management companies and ensure timely resolution.

▪ Handle all day-to-day administrative aspects and record keeping of the Asset Management Department.

▪ Ensure all rental licenses and property insurance are kept up to date.

▪ Attend related department meetings with property management staff and asset management staff.

▪ Assist with rental assistance program or other temporary programs created with short term grant funding.

▪ Post rents for internally managed assets.

Qualifications

  • Experience with prioritizing work requests is essential, along with effective oral and written communication skills.
  • Ability to work independently.
  • Computer literacy- proficiency in spreadsheets, word processing, and other Office applications (i.e. Microsoft Excel, Microsoft Word, Microsoft Powerpoint) and ability to learn Yardi.

  • Ability to multitask Education and/or Experience Applicants must possess experience and education defined below which has equipped them with the knowledge, skills, and abilities to successfully perform the duties of the position.

Experience:

Two (3) years previous experience Administrative Assistant.

Education:

High School diploma or GED and three years of Administrative Assistant experience.
