Job Summary
The Arts Programming Assistant will support day-to- Artshare exhibitions, programming, record keeping, and communication. The role reports to the Arts Programming Coordinator and will collaborate with the Development and IDD Teams at HeartShare Human Services. We offer a hybrid work schedule with the office location based in Brooklyn, NY. The role requires some local travel across the 5 Boroughs, to visit program sites and a valid driver's license. The Arts Programming Assistant will act as the secondary Point person for all teaching artists, including creating and coordinating class schedules, ordering classroom supplies, tracking expenses and budgets. They will help coordinate and execute program events, including pop-up sales, artist talks, and exhibitions. This role will support the Teaching Artist Program and the Artshare Committee by anticipating and supporting their needs and working collaboratively to ensure high quality program delivery.
Job Responsibilities
- Handle and move artworks, including wrapping, packing, and crating using appropriate.
- Install/de-install artworks during onsite projects using proper techniques and tools.
- Load/unload trucks to ensure safe transit.
- Plan the organization and packing of trucks to ensure utmost safety of objects.
- Safely operate company vehicle, transport art to their destinations
- Art supply ordering for various sites
- Ability to track expenses.
- Maintain contacts database & mailing lists.
- Maintain inventory database.
- Update incoming/ outgoing artwork records
- Provide support in updating gallery website & sales platforms.
- General upkeep of gallery spaces, and supplies
- Provide support for exhibition planning.
- Assist with research projects as needed.

Qualifications
- Minimum one year of administrative experience, preferably in a commercial gallery, museum, or arts organization.
- Background in the field of Visual and/or Performing Arts.
- Experience with arts accessibility and disability community a plus.
- Excellent verbal and written skills.
- Proven ability to manage multiple projects simultaneously, meet deadlines, and adapt to changing priorities.
- Flexibility with schedule (may be required to work on weekend for special events as directed by the Program manager).
Mininum Qualfiications
High school diploma. Bachelor's degree or work experience equivalent preferred.
Strong attention to detail, discretion, and follow-through.
Valid driver's license, clean driving record / CDL license required.
Must be able to lift and move heavy objects (more than 30 lbs.), bend, kneel, crouch, stand.
