Position Summary
Residential remodel general contractor in the Danville area with diverse employees and subcontractors looking for a part-time (20-30 hours/week) AR/AP Specialist who can work from home. We are looking for a candidate to take over our daily accounts receivable and accounts payable functions. He or she should be extremely detail-oriented and a team player. An ideal candidate will assist with administrative tasks, if needed, and ensure that our books are always up-to-date and accurate so that we can make effective decisions about the business. This position has the potential to become full-time with additional accounting responsibilities.
This is a work-from-home position that may occasionally require in-person meetings near Danville, CA. Candidate must be local to the Danville area.
Responsibilities and Duties
- Manage aspects of Accounts Receivable and Accounts Payable in QuickBooks Desktop
Accounts Receivable duties will include:
- Complete setup of new customers
- Send new contracts to customers through DocuSign; fully execute and file contracts in project folders
- Team with the Project Manager to plan all billings by date on each project, process all invoicing, and perform collection as needed
- Set up T&M and service contracts, send for approval, and set up projects
- Update contracts for approved Change Orders, project allowances, and permit costs, process invoices accordingly
- Enter all cash receipts
- Maintain client files with project and correspondence backup
- Provide necessary support to clients in a friendly and professional manner
Accounts Payable duties will include:
- Complete set up of new vendors including obtaining required vendor and Subcontractor forms
- Process Accounts Payable invoices, balance to Purchase Orders, obtain approval, and enter into QuickBooks accurately and in a timely fashion
- Project timing for payment on AP invoices
- Process credit card payments for pertinent vendors, maintain payment authorizations in an Excel register, Maintain vendor files with invoicing backup and correspondence
- Process Employee Reimbursements for payment weekly; review and calculate mileage reports for payment monthly
- Track vendor certificates of insurance; request renewal certs as needed
- Provide necessary support to vendors in a friendly and professional manner
Other duties may include:
- Preparing email blast campaigns for holiday and other company announcements
- Plan CPR and Safety Training for all employees when required
- Plan holiday and employee functions
- Manage office phone system through Ring Central, cell phone account through AT&T
Qualifications and Skills
- Bookkeeping and basic accounting principles
- Well-organized and able to multitask projects and prioritize responsibilities
- Strong computer skills including QuickBooks, Microsoft Office, online
- Good written and verbal communication skills
- Prior exposure to the construction industry is a PLUS
Required Experience:
- Proficient in QuickBooks is essential,
- Proficient with Microsoft Office, especially Excel and Word
Although the candidate will be required to perform tasks during business hours, there will also be the opportunity to perform after-hours work if so desired. Work-from-home position that will require occasional face-to-face interaction with management and employees in the field. The company will supply all computers and other equipment needed for the position.
Job Type: Part-time
Pay: $20.00 - $26.00 per hour
