Role: AP-AR Manager
Reports to: Senior Accounting of Manager
Location: Arlington Administration 2116 Arlington Ave., Suite 100, Los Angeles, CA 90018
Setting: 100% On site. Many hours in the office - occasional remote work.
Schedule: Initial Schedule M-F 8:30 am to 5:00 pm, in-office (Arlington). Will be required to respond to emails and texts on weekends, and after/before hours at times.
Status: Full Time /management /exempt

SUMMARY
The AP/AR Manager is a service minded professional and part of the Finance Department who is responsible for supporting and supervising various aspects of accounting functions at The People Concern. This position will serve as the manager of the AP/AR Specialists, and will assist in monitoring, preparing and or performing general ledger entries, month end close activities including adjustments are corrections. This position will implement and maintain efficient operations of accounting functions in a systematic and organized fashion in all aspects of Accounts Payable and Accounts Receivable.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1. Knowledge of the full cycle of accounts payable/receivable process and is responsible for the data integrity and management of activities within the department.
2. Actively supervises staff, reviewing work for accuracy, and providing training and guidance on the use of the chart of accounts, use of allocation tables and proper coding and classifications in accordance with policies and procedures.
3. Assist with maintaining cost allocation schedules and working with fiscal grants management team with updating allocation methodologies and data that drives budget performance.
4. Ensure that all accounts payable and cash-related documentation is systematically stored and safeguarded.
5. Oversee the weekly cash run process and ensure staff follow the process in accordance with required internal controls and urgency, including review, approval of regular and ongoing expenses supporting documentation.
6. Assist with managing accounting month end close and billing preparation by coordinating closing duties on schedule.
7. Maintain the general ledger by making recurring adjustments and ordinary journal entries in accordance with GAAP and agency policies and procedures.
8. Ensure all AR, deferred revenue, and subcontractor advances, and pre-pay accounts are properly reconciled.
9. Develop, prepare, and maintain reports and analyses for management that support preparation of financial statements, expense tracking and internal control management.
10. Function as a customer service representative to internal customers and vendors, researching and resolving issues related to vendor setup, invoice processing, and payment status, as well as other inquiries.
11. Work with departments to identify, develop and implement process improvements that ensure quality services and efficiency-based solutions are achieved.
12. Update and maintain accounting forms such Check Requests, Petty Cash, Credit Cards, Reimbursements, Mileage, etc.
13. Serve as backup to Accounts Payable/Receivable functions.
14. Stay abreast of government regulations and assist with preparation and coordination of audits and annual tax filings.
15. Other duties as assigned.
QUALIFICATIONS
1. Bachelor's degree in finance, accounting preferred or related field required; education requirements may be substituted with comparable work experience.
2. Thorough understanding of Accounts Payable and Receivable functions and systems.
3. 3-5 years of experience working in a Finance Department in a supervisory role with a team of 3+ members and understanding accounting standards and principles.
4. Proven experience managing high volume accounts payable/receivable department.
5. Experience in non-profit accounting preferred.
6. Ability to perform mathematical and data processing tasks rapidly and accurately.
7. Ability to understand cost allocations and government grant requirements.
8. Experience with travel and expense processing, reporting, and credit card integration.
9. Knowledge of GAAP and financial systems best practices, and use of accounting software.
10. Computer skills with proficiency in Microsoft Office Software (Outlook, Work and Excel).
11. A self-starter, with the ability to coordinate multiple projects/tasks at once.
12. Excellent verbal and written communication skills, and interpersonal skills.
13. Possess problem solving and conflict resolution skills and exercises professional judgement.
14. Flexible, adaptable, and capable of working in a fast paced, professional environment.
15. Maintain and execute confidential information using HIPAA standards.
16. Covid-19 vaccinated and boosted or with a medical/religious exemption.
WORK ENVIRONMENT
1. Primarily indoor office and congregate living facility environment
2. Walk or drive to different local sites at least 30% of the time.
3. Regularly required to sit, stand, bend and occasionally lift or carry up to 35-pounds.
4. May necessitate working in busy and loud environments.
5. May be exposed to elements like cold, heat, dust, noise, and odor.
6. May need to bend, stoop, twist, and sit throughout the day.
