Job description

The West Chester Area School District has the following position available:

  • *Anticipated* Secretary to Building Principal - Fugett MS

SUMMARY:
The Secretary provides secretarial support to ensure the smooth and efficient operations required of the school office.
REPORTING RELATIONSHIPS:
  • Reports directly to the building Principal
  • Works cooperatively with administrators, supervisors, staff, parents, students and others to perform job responsibilities as outlined

TERMS OF EMPLOYMENT:
  1. 12 months
  2. Salary (step/level placement) & Benefits are as described in the current Collective Bargaining Agreement.

QUALIFICATIONS & PHYSICAL REQUIREMENTS:
To successfully perform this position, a person must be able to perform each essential duty satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training, skill and/or ability necessary.
  • High school diploma or equivalent
  • Basic computer skills required
  • Excellent communication skills required

Qualified candidate will be required to:
  1. Use hands to finger, handle or feel objects, tools or controls, and to talk and hear
  2. Sit and occasionally be required to stand, walk, stoop, kneel and crouch
  3. Have specific vision abilities to include close vision, color vision, and the ability to adjust focus
  4. Have the ability to lift and/or move up to 25 pounds
  5. Possess effective communication, judgmental, planning and human relations skills
  6. Be required to work under periods of stress due to the level of the position responsibility

ESSENTIAL DUTIES AND RESPONSIBILITIES:
This list is intended to be illustrative rather than complete and serves to show major duties and responsibilities and does not express or imply that these are the only duties to be performed by the incumbent in this position. The employee will be required to be consistently at work and perform any other position-related duties requested by the supervisor. Some of the duties listed below, are shared with the Non-Instructional Assistant-Office person. Ultimately, the principal's secretary maintains a steady office flow in each area.
  1. Communication:
  • Answers phones and e-mails
  • Composes written and/or verbal correspondence
  • Maintains a customer service focus and welcoming demeanor
  • Fields and coordinates transportation issues (ie. parent/student early dismissals, bus problems, weather-related early dismissals, etc)
  • Disseminate essential information to key staff
  • Communicates with designated personnel to relay messages or emergencies
  • Works with Head Custodian and Facilities & Operations for building use and keep building use log
  • Collect information for and prepare school bulletin/school calendar
  • Work with PTO in coordinating school events
  • Establish, monitor, and maintain confidential files and conversations

  1. Visitors:
  • Control access to the building, screen visitors and assist in directing visitors to proper destination.

  1. Substitutes:
  • Responsible for daily substitutes in the AESOP System including running of any necessary reports including: Preparation of staff schedule, building procedures, key for room in case of a crisis, etc.

  1. Registration:
  • Register all incoming students including assigning student number and entering all pertinent information in PowerSchool; disbursing all necessary paperwork to counselors and teachers
  • Schedule registrations and tours
  • Handles requests for transferring records of students
  • Maintains student verification in PowerSchool

  1. Transportation:
  • Responsible for booking buses for field trips, type forms, etc.
  • Liaison for transportation issues (parental concerns, alternate bus stops, creating new stops) year round.

  1. Budgeting and Accounting:
  • Order office supplies and school equipment
  • Handle all purchase orders and requisitions
  • May assist Building Principal in the review of budget account status and recommend revision when necessary
  • Receive and deposit funds
  • Work with PTO in collection and deposit of monies for field trips, etc.

  1. Assist building Principal with Time Force approvals
  2. Be proficient in Microsoft Office (ie. PPT, Excel, Word, etc)
  3. Other duties as assigned by administrator(s)
