The Opportunity:Analyst, HRIS & Payroll Specialist

                                      

The Payroll Specialist is a critical member of the Family Office Team, which delivers centralized accounting, payroll, and human resources services to family office clients. This role is accountable and responsible for all aspects of payroll from start to finish for assigned family office clients.

 

Principal Responsibilities:

  • Process full cycle weekly, bi-weekly and semi-monthly payroll for 75+ employees for a wide variety of entities (10+ entities).
  • Fulfills process of obtaining information for payroll; verifies hours, responds to questions and resolves problems.
  • Review and calculate daily and weekly hours from submitted timesheets.
  • Audit, calculate and process one-time and recurring payroll data such as bonus, reimbursements, vacation time, insurance, 401(k) deductions and other supplemental wages.
  • Work closely with the Family Office HR team to obtain payroll data including salary adjustments, special payments, tax allocations and employee deductions.
  • Research and promptly resolve employee/client/system issues, requests and inquiries.
  • Exercise high degree of confidentiality relative to all payroll information and employee privacy initiatives.
  • Help drive high client satisfaction through excellent customer service, prompt follow-up, seamless vendor management and proactive problem-solving.
  • Keep abreast of the payroll processing system and changes in wage and tax laws, and correspond with federal, state, and local tax agencies on behalf of family office clients.
  • Prepare Excel reports for payroll entries.
  • Maintain employer payroll information, including filing for new state EINs. Additionally, take ownership in promptly addressing and resolving agency notices.
  • Establish and maintain a positive working relationship with internal team and clients to promote a quality service image.
  • Ability to multitask and work on multiple clients at the same time while maintaining accuracy with a high level of customer service and high volume of emails.
  • Ability to work well on a team as well as individually.
  • Ability to take on new entities and clients and assist with implementing them into the ADP platform while maintaining great service to all clients.

 

 

 

  • Work closely and collaboratively with the third-party payroll processor to review and audit payroll prior to finalizing and submitting payroll.
  • Ability to provide solutions to problems and drive decisions when necessary.
  • Perform other duties as assigned and handle any projects that may occur.

 

Qualifications:

  • 2-3 years payroll processing experience
  • Associate's degree or equivalent from two-year college or technical school preferred.
  • Solid understanding of recent ADP Workforce Now is required.
    • Experience filing quarterly amendments and W2 corrections in the ADP system.
  • Knowledge of federal, state (mainly CA & NY and various) and local payroll tax regulations.
  • Proven competence in MS Office, data entry and office equipment.
  • Excel (pivot, vlookup) experience suggested.
  • Proven ability in customer service, and problem resolution.
  • Excellent written, oral, and presentation communication skills.
  • Excellent organizational, planning, and prioritization skills.

Compensation Range: ICONIQ is required by law to include a reasonable estimate of the salary range for this role, together with other compensation being offered such as a discretionary bonus, health insurance, and other perks. There are several factors taken into consideration in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs. At ICONIQ, we apply a total reward philosophy where all aspects of compensation and benefits are taken into consideration in determining compensation terms. A reasonable estimate of the current salary range is $90,000-100,000 together with a discretionary bonus, health insurance, paid time off, 401k participation with a company matching program, wellness stipend, personal education allowance as well as a commuter benefits program.
