Position Description
This position is responsible for providing high level administrative support to Regulatory Services leadership and successfully manage in-office culture and operations for a successful team.
Working Location: This position currently works on-site only.

Job Duties and Responsibilities
  1. Screen, research, prioritize, and follow up on incoming issues and concerns addressed to the Department Director, including those of sensitive or private nature, determining an appropriate referral, or response.
  2. Prioritize inquiries and requests while troubleshooting conflicts and making judgments and recommendations to ensure smooth day-to-day operations of the department.
  3. Manage communications and update directors to ensure information is provided in an accurate and responsive manner.
  4. Manage Director of Regulatory Services' and Director of Operations & Engagement calendars effectively and meeting priorities.
  5. Coordinate smooth and accurate communication between the Director's office and internal departments and/or external organizations/persons; demonstrating leadership to maintain credibility, privacy, trust and support.
  6. Act as liaison with the offices of the Mayor, Elected Officials, City Department Heads, other City staff, independent boards, and other governmental or quasi-governmental agencies, non-profits, private industry groups and members of the public for the Director and Deputy Director.
  7. Assist with research, surveys, evaluation, and analysis on a variety of policies, procedures and ordinances, and report on findings and recommendations.
  8. Serve as the department's HRIS Representative, managing employees step increases and confidential personnel files or HR matters, as well as assist with hiring, interview panels, reviewing resumes/supplemental questions and setting up new hires.
  9. Make recommendations and provide constructive feedback on department priorities to leadership on projects, pilot programs and other operational activities.
  10. Serve as the department's IT representative, managing and approving IT tickets and other technology or space requests and leveraging technology to support department projects.
  11. Manage the department's Purchasing Card Program, managing supply orders, supporting staff in processing conference fees or other online orders.
  12. Assist in creating, proof reading and editing emails, presentations, publications, newsletters, contracts and other communications or documents.
  13. Serve as the department's liaison between internal and external customers with Council and other City departments.
  14. Assist with research, surveys, evaluation, and analysis on a variety of policies, procedures and ordinances, and report on findings and recommendations.
  15. Lead projects department wide that pertain to office conditions and workplace culture.
  16. Manage day to day operations of the office.
  17. Function as departmental representative by serving on various committees and task forces in roles such as Property Service/Department Security Liaison and Risk Management Safety Committee member.
  18. Manage Director of Regulatory Services and the Director of Operations and Engagement's travel.

Required Qualifications
Minimum Education:
Bachelors Degree in Business Administration, Public Administration, Political Science or related field.
Minimum Experience:
Three years of related work experience.
Equivalency
An equivalent combination of education and experience closely related to the duties of the position MAY be considered.
Desirable Qualifications -- Language
Bilingual skills in Spanish, Somali, Amharic, Oromo, Hmong, Vietnamese and/or Lao.
Desirable Qualifications -- Cultural competency
Ability to relate and work effectively with people from diverse cultural, economic and ethnic backgrounds.

Eligible List Statement
The names of applicants who meet minimum qualification and who pass the screening process shall be placed on the eligible list for employment consideration.
