Job description

This is a 100% US Based Remote position. 
The Onboarding Specialist is primarily responsible for facilitating a seamless administrative onboarding process for all new agent affiliations to the Coldwell Banker offices.  This position will work closely with a variety of departments to ensure that all tools and systems for our new agents are created and assigned correctly.  This position will also play a key support to the Branch Leader for a variety of administrative tasks that bolster agent recruiting and onboarding efforts.  This role will work mostly remote but may be called into an office for face-to-face support when needed. 
Essential Job Duties:
Create an Exceptional Onboarding Experience - Agents
  • Process all new agent affiliations through OnBase, MLS, Boards, etc. 
  • Facilitate the creation of the agent photo and bio and ensure it is provided to the needed partners for distribution.
  • Work with IT, Licensing, Marketing, the state licensing authority, etc. to ensure that new agents have proper access to DESK, email, marketing tools, etc. 
  • Support the agent with initial contact uploads into InTouch, Prospect Square (C4L), etc.
  • Create new agent announcements for the Managing Broker to send/share.  Includes both the in-office email announcement and applicable social media posts.
  • Basic first-time agent marketing items - ordering name badges, yard signs, business cards, etc.
  • Track collection of ASPs, LAPs, and other needed paperwork for licensing.

Branch Leader Support
  • Connect with Branch Leader on each new agent affiliation.
  • Support Branch Leader in recruiting appointments during call sessions.

Qualifications:
  • High School Diploma required.
  • 2 or more years customer service experience preferred; Prior Real Estate strongly preferred.
  • Technologically proficient in all areas including but not limited to familiarity with various operating systems on PCs and Macs and ability to navigate computer software.
  • Ability to learn new software programs on an as needed basis, skillful in using the following programs including, but not limited to: Microsoft office programs such as Outlook, Word, Excel, PowerPoint, and Publisher (including utilizing templates and mail merge), and Adobe programs such as Adobe Acrobat.
  • Ability to communicate with different audiences, convey message successfully, and change gear quickly to support different customers.
  • Ability to work in a remote environment while maintaining self-discipline, great communication skills and a high level of productivity.
  • Customer focused, delivery oriented, good team member, values honesty, and integrity
  • Creative problem-solving skills.
  • Strong customer service skills with excellent communication skills, both verbal and written.

Position Type and Expected Hours of Work:
  • This is predominately a remote work position but may be required to attend regional in-person meetings as frequently as once a month or face to face agent support as needed.
  • Scheduled hours are based on business need.
Work Environment:
  • This job operates predominately in a remote work environment. This role routinely uses equipment such as computers and phones.

Physical Demands:
  • Must be able to physically, with or without accommodation, operate a computer and phone.  Must possess the ability, with or without accommodation, to express oneself, communicate with others, listen, and exchange information.
