Full-time, afternoons/evenings, must have open availability, no weekends or major holidays. Prior experience in the veterinary field is preferred, but we will consider individuals with customer service and/or reception experience in other fields.
Responsibilities include, but are not limited to:
- Working with clients and pets in a professional, warm, friendly, compassionate manner.
- Ability to adapt to changing priorities throughout the day.
- Strong organization, attention to detail, and follow through.
- Using a multi-line phone system to process calls.
- Calmly triaging situations presented by clients to determine proper course of action.
- Scheduling and confirming appointments and advising clients of any specific instructions needed for their appointment.
- Checking clients in and out.
- Processing voicemail and email messages in a timely and professional manner using proper etiquette.
- Entering information and scanning documents into patient records.
- Accurately recording communications for doctors and other staff.
- Preparing and presenting estimates and processing financial transactions.
- Assisting with prescription refill requests, food purchases, and returns.
- Coordinating with other staff in a professional, positive, friendly manner always.
- Ensuring the hospital reception area is clean, orderly, fresh smelling, and pleasant.
Minimum Requirements:
- High school diploma or equivalent
- Customer service experience: 2+ years
- Veterinary or other Receptionist experience strongly preferred
- Working knowledge of computers
- Strong organizational skills
- Excellent verbal and written communication skills
- Exceptional interpersonal communication skills
- Outstanding client service skills
- Reliable with excellent attendance
- Must have open availability to work any assigned shift Monday through Friday from 7:30a.m. to 10:00p.m., or modifications thereof to meet business needs. Closed weekends and major holidays.
- Prepared to cover shifts on short notice when needed
Ideal Candidates will also have:
- Previous experience as a receptionist or customer service representative in the field of veterinary medicine.
