Academy Bus is looking for an Administrative Assistant to support our Claims, Risk Management, and Fleet Management Departments. We are seeking an organized individual who can multi-task in a fast paced environment with a sense of urgency and eye for detail. Our Claims Assistant will aid in the accuracy of our processing and records management. This is an entry level position with opportunities for advancement.
This position is 100% in our office in Hoboken, NJ. Free onsite private parking and close to public transit.

- Position 1 is supporting our Claims Manager
- Position 2 is supporting our Fleet Manager
Starting at $45,000 per year
The Administrative Assistant will assist with administrative task such as:
- Updating Excel spreadsheets
- Data entry into internal and external systems
- Maintaining physical and electronic files
- Answering phones, relaying messages
- Scheduling appointments and coordinating calendars
- Handling incoming and outgoing mail and packages
- Preparing written correspondence
- Collecting information needed for reporting and audits
- Processing check requests and following up with accounting to ensure timeliness of payments
- Work effectively with cross functional internal departments and external partners
- Cover main reception desk for breaks or when needed
- Other tasks and special projects as assigned
Administrative Assistant Requirements:
- Minimum of High School diploma
- Proficient in using Microsoft Outlook / Word / Excel
- Strong verbal and written communication skills
- Good organization and follow up skills
- Ability to multi-task and work independently on assigned tasks
