Job description

Job Summary:

As an Administrative Support Specialist at K.G. Stevens, reporting to the Lead Project Coordinator, you will be a key player in ensuring exceptional customer service and providing crucial support to various departments, including Project Coordinating, Scheduling, and Service & Warranty. Your role will extend beyond traditional administrative duties to actively contribute to the success of our customer-centric initiatives.

To succeed in this role, you will need to have excellent people skills with a strong sense of urgency. You will need to be detail orientated, have excellent verbal and written communication skills, organizational skills, and the ability to multi-task in a fast paced environment while maintaining your composure. You will be working in partnership with clients, contractors and colleagues alike to help track, gather and dispense project related information and updates daily.

Key Responsibilities:

Customer Service & Communication

· Serve as a primary point of contact for clients, demonstrating exceptional customer service skills.

· Promptly answer phone calls and respond to emails related to customer inquiries, project status, and service/warranty requests.

· Maintain clear and open communication with clients, ensuring their needs are met and issues are resolved promptly.

Customer Relationship Management

· Build and nurture strong relationships with clients to enhance customer satisfaction and loyalty.

· Conduct follow-up calls to clients to inquire about their level of satisfaction and address any outstanding concerns.

Administrative Support for Project Coordinating:

· Assist the Project Coordinating team in tracking, gathering, and dispensing project-related information and updates.

· Efficiently manage project-related data within the job tracking software, ensuring accuracy and completeness.

Backup Support for Scheduling:

· Cross-train in the Scheduling Department to provide backup support during peak demand, departmental vacation requests, or staff shortages.

· Assist in tracking jobs in production, assigning installation dates, and preparing installation routes for residential building and remodeling projects.

Backup Support for Service & Warranty Coordination:

· Cross-train in the Service & Warranty Coordination Department to provide backup support during periods of increased demand or staff shortages.

· Assist in resolving product or service problems, scheduling warranty service appointments, and communicating with clients about service-related issues.

Team Collaboration and Cross-Training:

· Actively participate in cross-training programs to provide assistance across departments.

· Collaborate with colleagues from different departments, responding to inquiries and providing support as needed.

Qualifications and Skills:

· Exceptional interpersonal skills with the ability to listen, acknowledge, and respond to client inquiries and concerns.

· Excellent verbal and written communication skills.

· Ability to work independently and as part of a team.

· High school education or higher.

· Must be able to pass a drug test and possess a valid driver’s license.

· High School Education or Higher.

Working Conditions

While performing the duties of this job, the employee will be exposed to normal office environments, however, brief periods on the production floor should be expected. Appropriate safety equipment will be provided. Frequently operates a computer, enters data into systems, verifies information, etc… The noise level is usually moderate.

Physical Requirements

While performing the duties of this job, the employee is regularly required to sit for long periods, use hands and arms with frequent repetitive motions. The employee is occasionally required to stand and walk and must be able to see, speak and hear.

Specific vision abilities required by this position include close vision, color vision and ability to adjust focus as it relates to working at a computer.
