JOB SUMMARY
The Administrative Specialist performs a variety of technical administrative support, interfaces with the managers, supervisors, foremen, craft, staff, and acts as a liaison between the North Slope and Anchorage office. The candidate will process timesheets, new hire paperwork, and other duties relating to processing paperwork for Human Resources (HR). The candidate must be able to multi-task, assess priorities, and be detail oriented as well as have excellent organizational, customer service, and communications skills.
ESSENTIAL DUTIES
  • Update and maintain the department filing system, records, and files.
  • Respond to staff requests for administrative support as required.
  • Provide recommendations regarding office administration procedures and development of new systems to ensure effective operations.
  • Book all flights for AES Kuparuk employees (varies) and maintain rotations and schedules.
  • Enter and track training rosters for VTA.
  • Utilize broad administrative background with North Slope experience.
  • Proficiency with all Microsoft Office programs including Visio.
  • Ability to train/learn in new and existing platforms quickly.
  • Initiate and follow through to completion on a variety of projects.
  • Understand safety culture and the role it plays in the flow of work.
  • Proficient verbal and written communication skills.
  • Able to accurately take notes at meetings via teleconferencing (if requested).
  • Excellent typing and alpha-numeric skills.
  • Attention to details ensuring accuracy of reports.
  • General business protocols for phone, fax, scanning, and photocopying.
  • Comply with Company and customer policies and procedures.
  • Support AES zero-incident safety culture and assume personal accountability and responsibility for safe work practices in all projects, activities, and operations.

REQUIRED EXPERIENCE
  • High School Diploma or equivalent.
  • Minimum of five (5) years' experience as an Administrative Assistant or Administrative Specialist.
  • Proficient experience in SAP, Oracle, iLogistics, and Microsoft Office Suite.
  • Proficient experience in reading and interpreting documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Proficient experience with writing routine reports and correspondence.
  • Valid driver's license required.

PREFERRED QUALIFICATIONS
  • Experience working as an Administrative Assistant or Administrative Specialist in the Oil and Gas industry, North Slope, and/or in Arctic Environment.

WORKING ON THE NORTH SLOPE
While working on the North Slope of Alaska, your lodging and food will be provided to you. All camps provide warm meals and options to grab a quick lunch or snack from the spike rooms. Rooms vary from single status to shared rooms where your roommate may work the opposite shift. Wi-Fi and Internet is free and available within the camp. Services vary depending upon where you are staying; however, most facilities offer housekeeping, self-serve laundry, commissary, mail, gyms, TV/Theater Room, etc. Each facility will have their own accommodations and policies that will be reviewed upon on-site orientation.

WORK ENVIRONMENT
A candidate must be able to meet the following non-exclusive requirements:
  • Meet the AES Driving Records and Motor Vehicle Use Policy.
  • Take and pass a pre-employment drug test which may include both UA and hair testing.
  • Meet the physical requirements of this position including working in a remote location under arctic conditions.
  • Required to take and pass a Fit-For-Duty Exam
  • Required to complete and successfully pass a background check.
  • Must be able to obtain and maintain an access badge for the work location.

The availability of this position is contingent upon the Company's continued operational needs once training is completed.
