Position Overview:
We are seeking a detail-oriented and organized Administrative Services Clerk to join our team on a remote basis. The successful candidate will provide essential administrative support to ensure the efficient operation of our office from their home location. The Administrative Services Clerk will undertake a variety of clerical tasks and support functions to assist in daily office operations.
Roles and Responsibilities:
- Perform general clerical duties, including but not limited to photocopying, scanning, faxing, and mailing, from your home office.
- Manage incoming and outgoing correspondence, including emails, letters, and packages, via electronic communication channels.
- Assist in maintaining electronic filing systems and organizing digital documents.
- Answer and direct phone calls in a professional manner using remote communication tools.
- Provide administrative support to ensure efficient office operations, utilizing remote collaboration platforms.
- Assist in scheduling appointments, meetings, and events, coordinating with team members across different locations.
- Manage virtual office supplies inventory by monitoring stock levels and coordinating remote orders as needed.
- Assist in processing invoices, expense reports, and other financial documents using remote accounting software.
- Coordinate with other remote team members to ensure compliance with administrative policies and procedures.
- Assist in data entry and record-keeping tasks using remote tools and software.
- Handle sensitive information in a confidential manner, following remote security protocols.
- Perform other administrative duties as assigned by the supervisor, utilizing remote communication and task management tools.
Qualifications:
- High school diploma or equivalent; associate degree or relevant certification is a plus.
- Proven experience as an administrative clerk, administrative assistant, or similar role.
- Proficient in remote collaboration tools and technology, including Microsoft Office Suite, Google Workspace, Zoom, Slack, etc.
- Strong organizational and time management skills, with the ability to work independently and manage tasks remotely.
- Excellent verbal and written communication skills, with the ability to communicate effectively in a remote work environment.
- Attention to detail and accuracy, especially in managing digital documents and data entry tasks.
- Ability to multitask and prioritize tasks effectively while working remotely.
- Knowledge of remote office management systems and procedures, including virtual filing and communication platforms.
- Experience with remote data entry and record-keeping preferred.
