POSITION SUMMARY:
The Administrative Scheduler provides high-level administrative and scheduling support to the Tarian program. This position will be responsible for performing a variety of administrative duties to ensure efficient operation of the site and will support Tarian leaders and teammates through a variety of tasks related to organization, scheduling, and communication. The ideal candidate is highly self-motivated, well-organized, professional, and capable of managing their workload while prioritizing tasks in a fast-paced corporate environment.


Compensation: $25.50/per hour


Responsibilities:
  • Assists sub-contractors as needed or requested.
  • Works with clients to schedule training, planning, and exercise engagements.
  • Assists with maintaining the business unit budget and respective expense reports.
  • Processes expense reimbursements and reconciles credit card statements.
  • Performs general clerical work including data entry, copying, answering phones, and filing
  • Aids in the completion of business unit projects, to include (but not limited to): attendance/training certificates, transcription of After-Action Reports/Improvement Plans, delivery of training/exercise checklists, and pre/post-engagement follow-up.
  • Reviews and manages accounts receivable follow-up/outreach.
  • Receives calls from teammates for rescheduling / call-offs.
  • Responsible for approving PTO requests from teammates.
  • Works with leaders to fill vacant posts, by reaching out to teammates.
    Manages the time and attendance for teammates through appropriate software.
  • Oversees the procurement of office supplies (ordering, inventory, discount program), shipping, mail receipt and distribution.
  • Assists senior leadership with communication and logistical needs.
  • Assists with special project assignments and/or project support as needed.
  • Develops and maintains filing systems (including intranet) in accordance with Tarian record retention policy.
  • Provides support for creating healthcare security proposals & consulting risk assessment reports.
  • Makes recommendations to improve the production, appearance, delivery and quality of customer facing proposal and consulting documents/deliverables.
  • Performs other job-related duties as assigned.

Qualifications:
Education and Experience:
  • High school diploma or equivalent required
  • Require three to five years of administrative support experience or an equivalent combination of education and experience (Associate’s degree preferred).
  • Excellent communication skills and possess the ability to communicate well verbally and in writing with all levels of internal and external individuals including teammates, clients, prospects, vendors and sales representatives.
  • Expert level skills in Word, Outlook, and on-line meeting systems.
  • Proficient with Excel, PowerPoint and InDesign.
  • Basic math skills.
  • Proficient with basic office machines to include, but not limited to, copiers, scanners, printers and binding machines.
  • Demonstrated ability to utilize high levels of discretion and confidentiality.
  • Ability to exercise sound judgement.
  • Ability to work independently with minimal supervision.
  • Ability to multi-task and work on several projects simultaneously while continuing to provide quality work while meeting time sensitive deadlines.
While performing the duties of this job, the employee will spend approximately 75% of the time sitting and will walk or sit 25% of the time; use hands to finger, handle or feel objects, tools or controls; reach
with hands and arms; climb stairs; occasionally the employee will stoop, kneel, or crouch. The employee must occasionally lift and/or move objects up to 25 pounds. Specific vision abilities required by the job
include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Frequently engages in mental concentration, analysis, and formulation.
