Position Summary:

AXONIS Therapeutics, Inc. is seeking a highly motivated and organized Administrative & Operations Associate to work closely with our internal team by providing personalized and timely support to increase the company’s efficiency and productivity. The Administrative & Operations Associate hired will provide direct support to the Executive team and will perform a variety of administrative tasks to help support the company’s internal team overall. The Administrative & Operations Associate’s responsibilities are highly likely to vary depending on the day-to-day needs of the team. The ideal candidate will therefore be comfortable taking on additional responsibilities beyond what is included in this job description as required and will be able to pick up these tasks quickly to effectively deliver a high standard of work. To be successful in this role, the ideal candidate should be well-organized, have great time management skills, be highly flexible in their work style and be able to act without guidance. An enthusiasm for working in a fast-paced entrepreneurial environment, an ability to pick up new skills quickly and a positive energy are also essential. Whilst desirable, extensive prior experience as an Administrative or Operations Associate or similar is not required and this position may be filled by a less experienced candidate who is eager to be trained, should they be the right fit.

Required Skills and Qualifications:

  • Outstanding organizational, workload and time management skills.
  • Excellent verbal, written and interpersonal communications skills.
  • A quick learner, who is ready and eager to take on new tasks and responsibilities depending on the needs of the team. Self-starter with ability to work independently and collaboratively within a team.
  • Tech savvy, with advanced proficiency in MS Office (Microsoft Word, Outlook, Excel, PowerPoint) and Google Workspace (Google Mail, Drive, Tasks).
  • Discretion and confidentiality.
  • Some experience in industry Administrative Associate, Operations Associate, Office Manager, Executive Assistant, Personal Assistant, or similar.

Preferred Skills and Qualifications:

  • A Bachelor’s degree in a relevant field and familiarity with biology and medical terminology or a background in business administration is a big plus.
  • Prior experience in a fast-paced startup environment.

Objectives of this Role:

  • Provides support to Executive management with organization, scheduling, correspondence, human resources, and meetings.
  • Takes responsibility and ownership of office organization, project management, deadline compliance, and important documents and files.

Daily and Monthly Responsibilities:

  • Act as the point of contact among executives, employees, clients, and other external partners.
  • Meetings, productivity, calendar organization, conference registrations and organization of travel for the management team.
  • File and data storage management.
  • Act as an office manager by keeping up with office supply and software inventory, scheduling facilities, team lunches and events, handling shipments, maintaining hard copy and electronic files, reviewing invoices, and other administrative and clerical support.
  • Assist with producing presentation and other materials for internal and external purposes.
  • Manage information flow in a timely and accurate manner.
  • Assist the Human Resources department with new hires, including hiring documentation, onboarding and offboarding, employee reviews, payroll, talent attraction, and team building.
  • Basic finance ops activities including PO management, reconciliations, and invoice entry and approval.
  • Management of IT support.
  • Social media outreach, updates (LinkedIn, Twitter, Pitchbook, Facebook) and website management.
  • Manage projects and follow-up with team members where required.
