Job Description
Administration Manager
The Administration Manager will manage the administrative staff, support residential, commercial, and service operations, as well as residential and commercial sales. This person will also work to improve and document administrative processes, manage facility projects and building maintenance developing a more organized and professional work environment. This will require collaboration with employees at all levels to identify facility needs, improve utilization of space, leverage multi-site operations and implement improvement plans.
Job Responsibilities
Administration Management
- Manage staff of two office managers responsible for sales leads, residential and commercial customer setup, customer manuals, filing customer state tax credit forms, and other administrative tasks.
- Manage administrative processes and priorities and integrate with other departments to maintain support and growth.
Facility Management
- Organize and facilitate solutions to facilities using both creative processes and analytical methods.
- Develop an integrated layout and plan and influence the organization to embrace the proposed changes oriented around the goals.
- Work with the functional leaders to identify opportunities for improvement.
- Regularly communicate with Functional Managers, Field Managers, and PES Team Members and departments to achieve objectives and goals.
- Manage maintenance of facilities
- Organize and manage the facility to maintain a clean, uncluttered, safe and organized work environment that exemplifies our professional and quality standards.
Documentation
- Support and promote safety in designing solutions to admin and facility processes.
- Review, edit, and expand upon existing training, procedural and educational materials, related to administrative processes including standard operating procedures (SOP).
- Create and manage documentation of procedures, and word-of-mouth/tribal knowledge.
- Prepare documentation with appropriate input (written or verbal) from subject matter experts, utilizing shadowing, listening, and research.
- Review current processes with a compliance/regulatory mindset; identify gaps and risks, as well as areas for growth.
- Document and track weekly progress.
- Attend management meetings and training session.
Qualifications
- Time management skills
- Working knowledge of facility systems and project management
- Lean methodology and tools (5S, Visual Management, Process Mapping, VSM, Daily Management System, Standard Work, Kaizen), quality issues, and problem solving methods.
- High level of writing competency in the English language
- One or more years of experience in technical writing, editing, and content creation
- An excellent level of communication, both orally and in writing, demonstrated via published or reviewable documents
- Is a systems-thinker, capable of utilizing analytical, critical, and innovative methodologies
- Close attention to detail through proofing, revision, and quality control
- Self-motivated, detail-oriented, and organized
- Proficiency with Microsoft Word and Adobe Acrobat Pro
- Ability for swift learning/understanding of software programs utilized by Positive Energy Solar
- Ability to communicate and work within various levels of the organization to influence actions and results
- Hands on experience in leading projects with cross-functional teams to improve business performance and maintain sustainability
- Demonstrated experience with working independently, thoroughly collecting and analyzing data and influencing leadership to make decisions and to take actions
