The Administrative Assistant to the Directorof Facilities and Security provides administrative support to assigned Director; acting as liaison between the Director and other parties; and monitors assigned programs and/or projects within the Property Management department. The Administrative Assistant must have the ability to acquire knowledge of program operations, policies, and procedures.

 

Role and Responsibilities

Duties/Responsibilities:

  • Performs advanced technical assistance work; requisitions and tracks merchandise, supplies, parts, and equipment necessary for Property Management activities.
  • Ability to communicate effectively with individuals and groups verbally and in writing.
  • Willingness to become knowledgeable regarding policies and regulations related to Property Management.
  • Attends meetings for the purpose of conveying and/or gathering information.
  • Coordinates the preparation, editing, and distribution of correspondence, reports, and forms;
  • Responds to inquiries for the purpose of providing information and/or direction.
  • Assists other office personnel as required in supporting them in completing their work activities.
  • Maintains records/files for the purpose of documenting and/or providing reliable information using correct grammar, spelling and punctuation.
  • Ability to work under standardized instructions and/or routines.
  • Maintains the Director’s calendar.
  • Schedules various meetings to assist in meeting staff needs and efficiently utilizing personnel, equipment, and facilities.
  • Perform other duties as assigned.

Qualifications

Qualifications and Education Requirements

Required Skills/Abilities:

  • Command of business English and able to write letters using correct grammar, spelling, and punctuation.
  • Knowledge of office procedures and basic procedures; data input.
  • Ability to communicate with others in a clear and precise manner, problem solving, analyze issues, create plans of action, and reach solutions.
  • Maintain confidentiality of records and correspondence.
  • Effectively use a variety of computer programs to include, but not limited to: Excel and database programs.
  • Keyboard proficiency and computer literacy.

 

Preferred Skills/Abilities:

  • Knowledge of HVAC, plumbing, electrical, carpentry, and mechanical systems (including relevant equipment and tools) is a plus.
  • Ability to read and interpret safety rules, operating and maintenance instructions, and other manuals and documents.
  • Bilingual in Spanish and English preferred.

 

Education and Experience:

  • High School diploma or equivalent, college degree preferred.
  • Secretarial experience in maintenance, transportation, and construction, or a combination of experience and education

Benefits Overview

This full-time position is benefits-eligible. The JCC contributes a portion of medical, dental and vision plan premiums and pays for Basic Life Insurance & AD&D, Short-Term Disability and Long-Term Disability. There are additional voluntary benefit plans available. The JCC has a 401(K) Plan available for elective deferral contributions for employees over 21 years of age, with no waiting period. Paid Time Off is a day-one benefit, accrued based on years of service and in compliance with the Colorado Healthy Families & Workplaces Act.
