POSITION: Administrative Assistant to Business Manager
REPORTS TO:Business Manager
STARTING DATE: June 17, 2024
WORK YEAR: 260 days per year (12 months), 8 hours per day
SALARY: Classified Exempt - Central Office Administrative Assistant Salary Schedule

MINIMUM REQUIREMENTS:
- Ability to maintain enthusiasm, professionalism and confidentiality.
- Ability to project a positive image of the career center, the staff and students.
- High school diploma required.
- Advanced training in office systems and office management preferred.
- Experience as an upper level executive’s assistant preferred.
- Ability to satisfactorily complete a skills evaluation.
- Excellent computer skills with proficiency in Microsoft Office, Outlook and web-based applications.
- Ability to work in a team environment and develop effective working relationships with diverse groups including students, staff and the community.
- Ability to demonstrate tremendous organization skills, self-motivation, self-discipline and self-management.
- Ability to handle diversified duties, multi-task and meet deadlines.
- Strong written and verbal communication skills.
- Ability to apply common sense understanding to solve problems and carry out instructions.
- Be a Notary Public (or be willing to become one).
DUTIES:
- Responsible for all duties as assigned associated with maintaining the efficient daily operation of the Business Office including but not limited to: key control, postage, ordering supplies, compliance, capital improvement and tracking utilities, staffing and overtime.
- Prepares resolutions and exhibits for monthly Board of Education meetings.
- Manages the donation process including arranging and documenting all donations.
- Reports department absences and processes department timesheets for payment.
- Maintains current information on all school purchased and donated vehicles including titles, E-Check and maintenance records.
- Assists Food Service Coordinator by cashiering during lunch period as needed.
- Performs all duties associated with the National School Lunch Program.
- Facilitates building use and facility rental for internal and external requests.
- Administers the van driver certification program.
- Assists in preparing and monitoring department budgets and accounts.
- Prepares department requisitions/purchase orders and appropriation modifications.
- Maintains and processes required paperwork for Workers’ Compensation claims.
