  • Hours of Work: Monday – Friday 8:00am to 5:00pm.

Salary and Benefits: This is a full-time, benefited Classified 3 level position. Starting wage range: $15.56 - $17.57/hourly, depending upon experience.

Job Summary: Core responsibilities include: 

The Assistant, Administrative – Residential Living & Learning is a 12-month position critical to the clerical and administrative functions of the Residence Life program serving 278 on-campus residents. As a part of the Student Life Team, the Assistant, Administrative – Residential Living & Learning is directly responsible for managing all administrative functions related to LCC’s residence life program The Assistant, Administrative – Residential Living & Learning must effectively collaborate with a variety of offices and personnel across campus. The position also requires occasional night and week-end availability; particularly during opening and closing each semester This position will be required to work occasional evening and weekends.

Essential Functions: – this position is Non-exempt , or is eligible for compensatory or overtime pay provisions of the FLSA.  This listing of essential duties is not all-inclusive but representative. Other duties may be assigned.

  • Develop and maintain positive relationships with both residents and staff by promoting on-going communication, mutual support and respect.
  • Manage all administrative functions related to room assignments, student contracts, accounts receivable, meal plans, etc., by utilizing the Housing Module and collaborating with the Director, Residential Living & Learning, as well as the staff in Accounting Services and Financial Aid.
  • Ensuring alignment with protocols established by the Director of Residential Living & Learning and the Director of Accounting Services by providing clerical support for all accounting functions related to students’ on-campus residency.
  • Provide guidance to Residential Living & Learning student staff for all desk related job responsibilities by creating and maintaining the Residential Living & Learning Desk Operations guide.
  • Coordinate with Dining Services my maintaining student meal plans and providing ID numbers and plan services to on-campus residents.
  • Oversee summer conference group management, including booking, building management and room preparations by coordinating with the Director of Residential Living & Learning and the office of conference and Event Services.

Other tasks may be assigned based on contemporary institutional need.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Knowledge of relevant college policies, procedures and practices with the ability to answer questions and/or interpret and apply these policies and procedures correctly in various situations.
  • Knowledge of effective customer service techniques with ability to present one’s self and the college in a positive and professional manner.
  • Knowledge and ability to train, motivate, schedule, coordinate and monitor Residence Life student staff performing a wide variety of tasks and services at the Residence Life Desk.
  • Ability to listen actively and demonstrate understanding.
  • Ability to make independent judgments, work autonomously and demonstrate initiative.
  • Knowledge and skill to operate a wide variety of standard office equipment (computers, printer, telephone, fac, copy machines, etc.).
  • Ability to work independently with minimal direct supervision: ability to use a computer, answer phones and provide excellent customer service with a positive attitude, often with frequent interruptions in an open reception desk environment.
  • Ability to train and direct student staff in customer service protocol.
  • Ability to react calmly and act professionally in emergency or high conflict situations.
  • Ability to appropriately manage access to confidential information requiring considerable judgment and discretion.
  • Ability to efficiently and accurately manage a wide variety of detailed information.
  • Ability to create atmosphere of mutual trust and accurately assess the feelings of others.

PHYSICAL/MENTAL DEMANDS

  • Mobility to effectively accomplish collaborative work campus-wide; daily trips outside, across campus to a variety of offices will be required.
  • Maintain appropriate composure and necessary confidentiality with regard to both past and current employee, student, and donor data; documents; issues; etc., and respect privacy needs of employees, students, donors
  • Comply with highly inflexible deadlines; there will be multiple occurrences of sudden, urgent task completion required
  • Adapt to a variable work schedule; including occasional evenings and weekends as needed
  • Interact with internal and external stakeholders, including but not limited to current and/or past employees and/or students, alumni, which will require the employee to interact professionally, diplomatically, and appropriately in such situations
  • Frequently move around the assigned work areas as well as within hallways, meeting rooms, and other parts of the campus facilities
  • Engage in multiple/daily instances of prolonged sitting, standing, and personal computer use, which would include keyboard and/or mouse usage as well as viewing a computer monitor
  • Frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 35 pounds
  • Specific vision abilities required by this position include close vision, distance vision, and ability to adjust focus
  • The overall work environment requires the mental ability to shift focal point quickly due to interruptions; an employee must be able to mentally track multiple projects and tasking as well
  • The noise level in the work environment is usually moderate; however, there may be unexpected instances of somewhat loud sounds
  • Ability to effectively listen and perceive the nature of sounds and spoken words at normal speaking levels with or without correction
  • Ability to travel as required.

EDUCATION AND EXPERIENCE REQUIREMENTS 

Minimum Qualifications:   

  • Associates Degree in Office Administration or related field, or commensurate professional experience.
  • At least one year’s experience providing customer service and clerical assistance in a detailed, data-oriented work environment
  • Demonstrated interpersonal communication skills and the ability to work both collaboratively and independently with diverse constituencies.
  • Proficiency in a variety of computer applications, including Microsoft Office Suite.

Preferred Qualifications:   

  • Bachelor’s Degree in Office Administration or related field.
  • Experience with Colleague or similar higher education housing modules.
