Position Purpose
 
Provides general assistance to employees of the Fort Worth Independent School District regarding employee benefits.  Works with insurance companies and businesses providing benefits to the employees of FWISD.
 
 
ESSENTIAL JOB FUNCTIONS
  • Prepares and maintains records in all Enterprise Resource Planning (ERP) systems related to employee benefits.
  • Verifies benefits selected by the employee and ensures they are accurately entered into the benefits modules and reported to the appropriate vendors in a timely manner; including verifying additions and deletions of deductions as legally applicable, working discrepancy reports, processing changes, adjustments, and refunds in the payroll warrants, tracking newly hired employees, processing various reports, and so forth.
  • Enters data for internal and external use, including daily updates such as processing new hires, maintaining changes in family status, processing out of age dependents, and researching/addressing discrepancies.
  • Provides excellent customer service to the employees of FWISD; responds to inquiries and requests received in person, via written forms or correspondence, via telephone, or by e-mail.
  • Prepares and presents information as directed.
  • Prepares and mails correspondence related to Employee Benefits; bills employees who are in a no-pay status or on an approved Leave of Absence; prepares Social Security and National Medical Support Notices, submitting benefit claims with carriers as needed.
  • Enters purchase requisitions on behalf of the department.
  • Creates, retrieves, reviews, and maintains files.

Knowledge, Skills & Abilities
  • Knowledge of employee benefits offered by the District.
  • Knowledge of federal and state laws regarding FMLA, HIPAA and employee benefits
  • Knowledge of District policies, procedures, and regulations.
  • Knowledge of multicultural diversity issues in the work place.
  • Knowledge of records administration and maintenance techniques and procedures.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Skill at the intermediate level, working with Microsoft Office 365, especially Outlook, PowerPoint, and Word.
  • Skill in completing assignments accurately and with attention to detail.
  • Skill in data entry with minimal errors.
  • Skill in giving full attention to what other people are saying, taking time to understand the points communicated, asking questions as appropriate, and not interrupting at inappropriate times.
  • Skill in talking to others to convey information effectively.
  • Skill in using multi-function telephone, telephone techniques, and phone etiquette.
  • Ability to accurately prepare and maintain records, files, and reports.
  • Ability to compose/edit a variety of documents using correct spelling, grammar and punctuation.
  • Ability to exercise discretion regarding matters of a sensitive or confidential nature
  • Ability to handle difficult and stressful situations with professional composure.
  • Ability to maintain effective interpersonal relationships.
  • Ability to understand, interpret, and apply rules, policies and procedures relating to District operations.

Travel Requirements
  • Travels to school district buildings and professional meetings as required.
 
Physical & Mental Demands, Work Hazards
  • Tools/Equipment Used:  Standard office equipment, including computer and peripherals.
  • Posture:  Prolonged sitting and standing; occasional stooping, squatting, kneeling, bending, pushing/pulling, and twisting.
  • Motion:  Frequent repetitive hand motions, including keyboarding and use of mouse; occasional reaching.
  • Lifting:  Occasional light lifting and carrying (less than 15 pounds).
  • Environment:  Works in an office setting; may require occasional irregular and/or prolonged hours.
  • Attendance:  Regular and punctual attendance at the worksite is required for this position.
  • Mental Demands:  Maintains emotional control under stress; works with frequent interruptions.
 
Minimum Required Qualifications
  • Education: 
    • Accredited High School diploma, GED, or Texas Certificate of High School Equivalency required;
    • Bachelor's degree from accredited college or university in business administration or related field preferred.
  • Certification/License:  None.
  • Experience:  
    • 3 years' general office and clerical experience required;
    • 3 years of benefits experience preferred.
