Job description

This is a Full Time, 1.0 FTE, Day/Evening position.
Position Summary:
The Administrative Assistant provides a warm and welcoming environment for clients, while completing administrative tasks such as co-pay collection, answering phones, scheduling clients, maintaining schedules and providing admin support for clinicians and other projects as assigned.
Duties and Responsibilities:
  • Assist clients in scheduling needs
  • Strive to achieve key outcomes at each client check in: eye contact, warm welcome, alerting provider and copay collection.
  • Maintain and improve the appearance and atmosphere of the facility for clients and staff members by maintaining site cleanliness and organization
  • Distribute mail and faxes to the appropriate individuals
  • Maintain inventory and organization of office supplies
  • Aid in coordinating & overseeing building maintenance requests as requested by Office Manager
  • Manage all phone call triage, problem-solving & follow-up
  • Administer and score questionnaires

  • Assist with general support to all staff members as needed (examples: faxing, distributing mail, making copies, etc.)
  • Work with medical records to coordinate client record requests
  • Coordinate provider schedule support: blocking off PTO time, adding in meetings, making schedule changes, etc.
  • Drive personal and/or company vehicle for work purpose, including client transportation, as needed
  • Maintain both program and staff schedules, ensuring accuracy through daily checks and remedying any conflicts or issues
  • Mail correspondence to clients as requested
  • Maintain at all times the confidentiality of proprietary information, which includes but is not limited to, trade secrets, sensitive company information, and generally any company information not made available to the public.
  • Maintain at all times the confidentiality of former and current Emily Program clients' protected health information, as directed by state and federal law, and Emily Program policy.Additionally, maintain confidentiality in any position with access to employee personal information.
  • Attend all required meetings as outlined in the Outpatient Meeting Structure document
  • May act as Point of Contact for Weekend Programming
  • Perform additional duties and projects as needed

Qualifications:
  • Bachelor's degree preferred
  • 2+ years' experience in healthcare industry or administrative setting strongly preferred
  • Basic knowledge of MS Office programs with ability to learn new applications
  • Active driver license and ability to drive personal and/or company vehicle

  • Sitting 80-90% and Standing 10-20%
