Administrative Assistant-Finance Department
Definition:Under the immediate direction of the Assistant Director and Director, the staff associate supports the administration and management of Finance Department programs and services.

Tasks:
Supports City employees and departments with routine, day-to-day finance department questions, needs, and inquiries.
Assists the Finance team in all areas of the Finance related functions with work involving continual exposure to highly confidential and specialized information and requires an in-depth understanding of the organization's policies and operations.
Prepares confidential documents and reports.
Prepares memos and letters upon request including correspondence, letters, and minutes from applicable meetings.
Assists the Finance Department in planning, organizing, and ordering of supplies.
Performs receptionist duties by answering all incoming telephone calls, greeting visitors, and distributing all mail.
Serves as the cashier for the Finance Office.
Performs data entry, as directed.
Performs other administrative duties as assigned. .
Knowledge, Skills, and Other Characteristics:
- Knowledge of standard office support including office management programs and software.
- Knowledge of methods and techniques of financial analysis and research procedures.
- Knowledge of data processing and file management.
- Skilled in delivering support in a courteous manner.
- Ability to operate a variety of office equipment including computers and applicable software
applications.
- Skilled in data entry and data management
- Ability to gather, organize and analyze financial information and arrive at sound conclusions.
- Skilled in establishing and maintaining effective relationships with those contacted in the course
of work.

Mental and Physical Abilities: Mental work efforts involve management and organization of general office practices. Physical requirements include the ability to sit for extended periods of time while conducting support work, eye/hand coordination, and manual dexterity.
Working Conditions: Work involves a normal office environment.
QualificationsQualifications: High school diploma required (associate degree preferred) and (1) to three (3) years of experience. An equivalent combination of experience and education which indicates possession of knowledge, skills and other characteristics may be substituted for the above qualifications.
