HOW AN ADMINISTRATIVE ASSISTANT IV WILL MAKE AN IMPACT:
- Working in a discreet environment handling sensitive and personal information daily
- Completing transactional duties with special attention to detail, being organized, and multi-tasking
- Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email
- Handling and receiving incoming and outgoing correspondence
- The AA shall provide the full scope of administrative support to the Office's Director, Deputy Director, Technical Director
- He/she will provide ad hoc admin support (calendars, copying, etc.) to 3-5 members of the Senior Leadership Team (SLT) as required
- Separate administrative support exists below the SLT level, but AA may occasionally be asked to assist or provide guidance based on Sponsor experience; separate support to the Front Office exists for technical tasks
- The AA will not provide administrative support to the Chief of Staff
- The AA shall be a self-starter, ideally familiar with Sponsor systems and processes, and be able to work autonomously
- The AA shall be customer facing in a dynamic environment
- The AA shall broadly understand Office's Director's rote and responsibilities with working knowledge of mission priorities
- The AA shall have professional decorum and the ability to interact with senior personnel
- The AA shall have excellent communication skills, verbal, written and listening
- The AA shall create/cancel meeting invites In a timely manner and as requested
- The AA shall prepare the Office's meetings by scheduling pre-briefs or "readaheads," providing attendee lists, ensuring access to the facility, and blocking time on the calendar for travel
- The AA shall also be able to send formal correspondence for record
- The AA shall be responsible for the Office Director's and Deputy Director's calendar - as well as the Technical Director's if requested) and must demonstrate experience with reserving conference rooms and deconflicting schedules
- The AA should also be able to proficiently update, when applicable, office calendars with leave and office level meetings; calendar management includes authority to Independently schedule/reschedule meetings based on priorities and scheduling conflicts
- The AA shall create a logical electronic filing system for all office related materials e.g. shared calendars or SharePoint sites; he/she will keep a log of all noted discrepancies, calls, interactions with customers and provide report on taskings
- The AA will acknowledge correspondence and provide status of queries or tasking within 36 hours and, he/she will serve as focal point for customer queries
- The AA will independently author professional responses to customers using proper grammar and punctuation; they will need to apply a level of good judgement when reviewing correspondence and/or responding on behalf of the Office's Director
- The AA may be asked to assist with in-processing of new staff and contractors, to include requests for system access
- They will be responsible for preparing draft correspondence, creating phone lists and COOP rosters, submitting IT system or other database requests
- External visits are rare but the AA should be able to submit visitor requests and escort visitors as necessary
- As necessary, develop/author, and update standard SOPs to support check in and access processes
- The AA shall be responsible for keeping the Director informed of daily activities and pending actions that may arise
- They will be expected to clearly write/record action items and send email to the appropriate individuals/teams for action and follows up to ensure task ere completed in timely manner
- They will escalate all outstanding tasks to management after 36 hours for situational awareness
- He/she will independently perform standard administrative duties, including answering telephone calls, typing, proofreading, and editing memoranda
- The AA shall manage office supplies and submit tickets for IT issues if requested
- The AA may be asked to prepare travel arrangements for CONUS and OCONUS travel (1 TOY per quarter on average) and assist with travel vouchers; only local POV travel for the AA is required
- Position requires an active Top Secret/SCI with Polygraph clearance.
- HS Diploma and 7 years of relevant experience or equivalent combination of education and experience
- The AA's work schedule can be flexible so long as there is coverage M-F during core hours of 9am-3pm
- Proficient Word, Excel, Outlook, PowerPoint
- Able to perform duties with minimal supervision and some team interaction
- This position is on customer site
