Job Title: Activities Finance Advisor - Ringgold Middle SchoolReports to: Building Principal Primary Purpose:The Activities Finance Advisor will be responsible for all accounting of the student activity accounts. Extracurricular Position:There are a wide variety of responsibilities which come with being the Activities Finance Advisor. The list below is not inclusive of all responsibilities but is a general overview of expectations for the position.
The functions of the Activities Finance Advisor are required to be completed beyond the school day; the stipend is in place for this reason. Essential Functions:Adheres to Student Activities Handbook.Completes all required forms in entirety as required by the Student Activities Handbook.Meets with Building Principal to audit accounts monthly.Balance and prepare all deposits weekly.Prepare and maintain documentation to support all disbursements (purchase orders, requisitions, check requests, invoices, etc.).Prepare checks for signature/approval.Record all revenues and expenditures using District approved activity accounting software.Prepare and make all journal entries.Reconcile all accounts monthly.Prepare and submit all required reports accurately and monthly.Report any account discrepancies directly to the Building Principal immediately.Keep the Building Principal informed of all real or potential problems (i.e. negative account balances, idle accounts, untimely receipts from teachers or others, known violations of procedures, etc.).Responsible for all student activity annual audit documentation and requirements.Any other duty or task which the Building Principal finds necessary for the purpose of maintaining appropriate accounting.Performs other duties as assigned.Performs in accordance with the Student Activity Handbook, school policy, administrative regulations, state and federal laws.
