Job Description
POSITION SUMMARY:
The Accounts Receivable Assistant will assist the office with a variety of tasks. These functions primarily include posting receivables, finalizing and verifying complete and accurate invoices, allocating monies received for services, calling past due accounts, data entry, customer service, and filing of documents.
PRIMARY RESPONSIBILITIES:
- Assist inbound customer phone calls regarding billing and payments.
- Provide support for office tasks related to business operations.
- Call customers regarding past due invoices.
- Back up to Dispatchers, as needed, for answering inbound phone calls and dispatching and supporting field staff.
- Assists customers via phone or in person in scheduling requested and needed service.
- Assist office staff with monthly AR meeting.
- Ensure work orders have correct costing and data input.
- Research and correct any billing or inventory issues.
- Mail invoices to customers.
- Sync invoices from Service Titan into QuickBooks to apply payments.
- Process and apply daily deposits for cash, checks and credit card payments into QuickBooks.
- Process credit card payments.
- Cancel, correct, create, or modify contract maintenance plans within Service Titan.
- Process monthly account statements and calculate service charge invoices.
- Process Mechanical Liens and Small Claims for past due accounts.
- Maintain, track and follow up on all outstanding warranty claims to ensure prompt and accurate processing.
- Help troubleshoot and/or answer any questions from coworkers regarding billing and/or contracts.
- Create a monthly spreadsheet listing customers 60+ days past due and collection attempts for management.
- Build sustainable relationships and trust with customer accounts through open and interactive communication.
- File all invoices in paid & Accounts Receivable drawers.
- Other duties as assigned.

- Ability to handle difficult customers and situations calmly and professionally.
- Ability to organize and prioritize work.
- Proficient in Microsoft Office Products.
- Experience with Service Titan a plus.
EDUCATION/KNOWLEDGE
- High school diploma or equivalent.
- A minimum of 2 years of relevant A/R experience required.
