** Accounts Payable & Payroll Administrator**
** M-F 8am – 5pm* *Compensation – DOE*
 
We are currently seeking a dedicated and detail-oriented individual to join our team as an Accounts Payable and Payroll Administrator. The Accounts Payable & Payroll Admin is responsible for monitoring the outflow of capital for the company, processing employee payroll, and maintaining employee time records. This person must be reliable and extremely trustworthy because they are working with confidential information.
RESPONSIBILITIES:
  • Creates and maintains vendor files
  • Initiates bill payments for multiple accounts while ensuring all payments made are per company policies and procedures
  • Resolves payment discrepancies and disputes on behalf of the company
  • Receives and verifies expense reports; reconciles expense and other financial reports with account balances and other office records.
  • Facilitates payment of vendors, which may include verification of federal ID numbers, reviewing purchase orders, and resolving discrepancies
  • Reconcile the Accounts Payable ledger to ensure that all bills and payments are accounted for and properly posted
  • Understand expense accounts and cost center
  • Understand compliance issues around Accounts Payable processes (W-9, sales tax, etc.)
  • Calculates and reports sales tax based on paid invoices. 
  • Enters, maintains, and/or processes information in the payroll system; information may include employee’s hourly rates, salaries, commissions, bonuses or other compensation, time worked, paid leave and holidays, deductions and withholding, address changes, and other information.
  • Ensures proper processing of payroll deductions for taxes, benefits, and other deductions
  • Issues, or reissues, physical or replacement checks, or direct deposits due to payroll errors or final discharge.
  • Records and processes federal and state payroll tax deposits
  • Handles child support orders and initiates proper deductions
  • Handles voluntary employee deductions after receiving or initiating a signed employee deduction form
  • Resolving payroll discrepancies and answering any employee payroll queries
  • Maintaining all payroll operations according to company policies and procedures
  • Proven ability to calculate, post, and manage accounting figures and financial records
 
REQUIREMENTS:

Computer Skills

To perform this job successfully, an individual should have experience with Microsoft Office software. Intermediate to advanced skills in Microsoft Excel is a MUST and know Sage 100/MAS90!

Certificates, Licenses, Registrations 
None required for this role.  CPP and/or APS preferred but not required.

Education and/or Experience
  • 1-3 years related experience 
  • Previous experience working in an accounting environment 
  • Preferred experience processing payroll
  • High school diploma or GED. 

Language Skills: 
  •  Ability to effectively present information and respond to questions from manager(s)/Supervisors, clients, customers, and the general public.

Mathematical Skills:
  •  Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent. 

Reasoning Ability: 
  •  Ability to solve practical problems and deal with a variety of concrete variables.
