Job Responsibilities:
- Match purchase orders to invoices and enter invoices into system.
- Reconcile processed work by verifying entries and comparing system reports to balances.
- Analyzing invoice/expense reports and recording entries.
- Resolving purchase order, contract, invoice, or payment discrepancies and documentation; insuring credit is received for outstanding memos.
- Verify vendor accounts by reconciling monthly statements. Update vendor names and data. Maintain updated vendor files and files numbers.
- Provide accurate and effective document preparation and records management relative to the AP function in accordance with records retention policies and procedures.
- Receive and verify invoices and requisitions for goods and services.
- Provide accurate and effective documents and records that comply with financial policies and procedures.
- Prepare batches of invoices for data entry.
- Maintain listing of Accounts Payable.
- Maintain the general ledger.
- Protect organization’s value by keeping information confidential.
- Ensuring that all invoices received are uploaded;
- Ensures that invoices are submitted for payment in a timely manner;
- Ensures that supplier accounts are cleared with payments;
- That Accounts Payable supports are available for use in SharePoint and SAP;
- Avoid, within the possibilities, the surcharge that occurs with delays in the payment of invoices;
- Verifies the receipts account without invoices and maintains it with a minimum value
Skills/Qualifications:
- Knowledge of general accounting principles, regulatory standards, and compliance requirements
- Proficiency in MS Office, including the ability to operate computerized accounting and spreadsheet programs.
- High degree of accuracy, attention to detail and confidentiality
- Excellent data entry skills
- Excellent analytical, problem solving and decision-making skills.
- Effective verbal, listening and written communication skills.
- Effective organizational, stress and time management skills
- Demonstrates a sense of urgency and ability to meet deadlines.
- Ability to work independently or as a team member.
Work Environment
- Work is generally performed within an office environment, with standard office equipment available.
- The noise level in the work environment is usually mild in office and moderate in the manufacturing shop area.
