Job description

Husch Blackwell LLP is a full-service litigation and business law firm with multiple locations across the United States, serving clients with domestic and international operations. We have an immediate opening for an Accounting Department Executive Assistant (Assistant to the CFO). This position may be filled remotely or in any of our locations.

The Accounting Department Executive Assistant provides high-level support to CFO and Managers in the Accounting Department and contributes to special projects as needed.  This position requires the highest level of confidentiality as well as the ability to coordinate multiple priorities simultaneously. Essential job functions include:

  • Provide administrative support to the CFO, Directors, and Managers in the Accounting department to include calendar maintenance, scheduling meetings, making travel arrangements, maintaining expense reimbursements, processing vendor invoices, opening mail, screening and returning phone calls, etc.
  • Organize, plan, and book travel/registration for Accounting Department (interoffice, training classes, conference attendance, etc.).
  • Prepares logistics for meetings: including collecting meeting materials, creating agendas and presentations, taking minutes and organizing food and beverage for meetings, as necessary.
  • Understand and disseminate confidential information.
  • Assist in creating Accounting presentations and reports.
  • Maintain department files.
  • Draft e-mails and other documents independently and on behalf of the CFO and Directors.
  • Track all PTO for Accounting Department and add to master calendar.
  • Approve Chrome River expenses for CFO.
  • Maintain current Accounting Department Organizational chart.
  • Coordinate additions and changes to departmental information on the HuB.
  • Organize renewal process of all Accounting Department professional memberships.
  • Contribute to and assist with special projects in the Accounting department as needed.
  • Other duties as assigned.

 

PHYSICAL REQUIREMENTS

  • The physical activity of this position:
    • Reaching. Extending hand(s) and arm(s) in any direction.
    • Pushing. Using upper extremities to press against something with steady force in order to thrust forward, downward or outward.
    • Pulling. Using upper extremities to exert force in order to draw, haul or tug objects in a sustained motion.
    • Fingering. Picking, pinching, typing or otherwise working, primarily with fingers rather than with the whole hand as in handling.
    • Grasping. Applying pressure to an object with the fingers and palm.
    • Feeling. Perceiving attributes of objects, such as size, shape, temperature or texture by touching with skin, particularly that of fingertips.
    • Talking. Expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
    • Hearing.  Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make the discriminations in sound.
    • Repetitive Motion.  Substantial movements (motions) of the wrists, hands, and/or fingers.
  • The physical requirements of this position:
    • Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
  • The visual acuity requirements including color, depth perception, and field vision:
    • The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading; visual inspection involving small defects, small parts, and/or operation of machines (including inspection); using measurement devices; and/or assembly or fabrication parts at distances close to the eyes.
  • The conditions the worker will be subject to in this position:
    • The worker is not substantially exposed to adverse environmental conditions (such as in typical office or administrative work).

POSITION REQUIREMENTS

  • Associate’s Degree in related field; or combination of education and commensurate work experience required. Bachelor’s Degree in related field preferred.
  • 3-5 years relevant experience providing comprehensive support to organizational leadership, preferably in a professional services environment.
  • Proficiency in Microsoft Office Suite including Outlook, Word, PowerPoint and Excel.
  • Possess understanding of basic office methods, practices, procedures, including filing systems, spelling, grammar and punctuation, as well as a general knowledge of principles related to personnel policies.
  • Ability to prepare correspondence with minimal direction.
  • Ability to handle confidential information of highest level.

 

COMPENSATION AND BENEFITS

Employees are entitled to compensation commensurate with skill and experience. The full time base annual salary for this position in the Denver, CO market is expected to range between $60,000 – $87,000. The full time base annual salary for this position in the Los Angeles, CA market is expected to range between $68,000 – $100,000. The full time base annual salary for this position in the Oakland, CA market is expected to range between $69,000 – $102,000. Salaries in other markets will vary depending on market data. Bonus opportunities are non-guaranteed, and are dependent upon individual and firm performance.
