Summary:

The Accounting Assistant will support our Finance team in 1) timely and accurate reviewing, validating, recording and reporting of financial information, 2) meeting company obligations to vendors, authors, and employees, and 3) ensuring compliance with agreements, contracts and governmental and tax requirements.

Essential Duties and Responsibilities:

The duties and responsibilities of the Accounting Assistant may consist of, but are not limited to, the following:

  • Review, verify, and enter financial data into the Sage 100 ERP system.
  • Create, review, and post journal entries.
  • Reconcile accounts.
  • Create reports using Sage 100 and MS Excel.
  • Assist with month-end closing and reporting.
  • Review, verify, and process accounts payable transactions.
  • Apply customer payments to accounts receivable.
  • Assist with annual accounting department responsibilities, including conducting year-end inventory, year-end closing, and audit workpaper preparation.
  • Learn and provide back-up for critical accounting duties during absences of other accounting staff.
  • Assist other Ave Maria employees as needed to find solutions.
  • Other accounting duties, reports, or projects as assigned.

Position Requirements:

  • Associate Degree in Accounting or Business Administration, or equivalent experience.
  • 2-3 years minimum of proven experience in an accounting or accounts payable role.
  • Proficiency with the accounting module of an ERP software (such as Sage 100), including entering transactions and generating reports.
  • Proficiency with computer applications, including Microsoft Office (Excel and Word) and Google Workspace (Gmail, Calendar, Drive).

· Expertise and desire to embrace evolving business technology and accounting for ecommerce tools (such as Shopify and ApplePay) is desired

  • Must be able to work with a high degree of organization, accuracy and attention-to-detail, and maintain a schedule in order to meet deadlines.
  • Must work well independently and in teams and be able to multi-task and recognize and set priorities.
  • Must have strong communication, interpersonal, and problem-solving skills to effectively engage with our team members, customers, authors, and vendors.

Position Type/Expected Hours of Work:

This is a part-time position. The expected work hours are approximately 25 hours per week, between the business hours of 8:00AM and 4:30PM (EST), Monday through Friday. The exact schedule will be discussed and decided upon during the interview and offer stage.
