The Accounting and Office Administrator is responsible for supporting the Accounting department in the daily accounting functions and various other departments at an administrative level as needed. This position is open to individuals legally eligible to work in the United States, is based at our headquarters in Northbrook, IL, and reports to the Accounting Manager.
This is a hybrid role requiring a minimum of 2 days in office at the Northbrook, IL office location.
RESPONSIBILITIES
Accounting Administration:
- Enter Vendor bills into QuickBooks
- Enter contractor W-9 information into QuickBooks
- Record debit activity into QuickBooks as needed
- Enter contractor bank information into payment sites
- Enter expense reports and credit card expenses into QuickBooks and classify them to the correct account and department
- Enter contractor W-9 information into QuickBooks
- Enter contractor bank information into payment sites and maintain templates
- Enter expense reports into QB and classify to correct account and department
- Enter credit card expenses into QB and classify to correct account and department
- Various projects and responsibilities as assigned
Office Administration:
- Perform administrative duties such as database updates, processing forms, order office supplies as needed
- Serve as a backup Office Manager, ensuring smooth operations and administrative efficiency in the office as needed
- Work with the Social Committee, Marketing, and Management to assist with office event planning, set-up, and management of company events
Requirements
QUALIFICATIONS
Education and General Skills
- Bachelor's degree or equivalent; accounting or business-related degree preferred
- Tech savvy; fluent in MS Office Suite (Word, Excel, Outlook)
- Familiarity with QuickBooks and the ability to enter and manage financial data accurately.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent communication skills, both written and verbal, with a focus on detail and accuracy.
- A proactive approach to problem-solving and the ability to work independently.
- Strong team player; willing to assist with a variety of duties
- Previous experience in an administrative or office management role is a plus.
- Physical requirements: the ability to lift up to 20 pounds

- Timely and accurate entry for vendors, contractors, expense, and credit card data
- Highly responsive to employees and management for office administrative needs
- Maintain good relationships with outside vendors
