Job description

Accounting & Administrative Assistant

Accounts Payable

  • Daily entry of bills, including coding and classifying data.
  • Reconcile the accounts payable ledger to ensure that all bills and payments are accounted for and properly posted.
  • Investigate discrepancies by reconciling vendor accounts and monthly vendor statements.
  • Process outgoing payments as directed by Controller.
  • Reconcile credit cards.
  • Job costing review

Accounts Receivable

  • Enter monthly billing information with help from PM’s and Controller.
  • Creates invoices and applications for payment as directed.
  • Prepare, post, verify, and record customer payments and transactions related to accounts receivable.
  • Copies, files, creates files, and retrieves materials for accounts receivable as needed.

Payroll

  • Learn our payroll and step in as backup for payroll manager as needed
  • Calculating / entering time, wages, and salaries
  • Payroll and payroll liabilities, state and federal reporting
  • Certified payroll / prevailing wages
  • Union payroll reporting
  • Issuing paychecks and direct deposit entries
  • Benefits deductions, garnishments, etc.
  • New hire reporting

Other Responsibilities

  • Assist with month-end and year-end closing.
  • Assist with reconciling bank statements.
  • Assist project set-up and entering budgets.
  • Assist with project closing.
  • Assist with bidding / bidding process.
  • Assist with change orders.
  • Assist with audits.
  • Draft, update and edit documents using MS Office
  • Draft, update and edit documents using Adobe Pro / Creative Cloud
  • Research and coordinate special projects as needed.
  • Take mail to post office and deposits to bank.

Qualifications

  • 2 years of experience with accounts receivable and accounts payable (required)
  • 2 years of experience with payroll and payroll reporting (required)
  • Familiar with Microsoft Word, Outlook, PowerPoint (preferred)
  • Familiar with construction accounting programs or ERP systems (experience other than QuickBooks is preferred)
  • Construction (including pay applications) or manufacturing accounting experience (preferred)
  • Job costing knowledge/experience (preferred)
  • Tech savvy is a plus.
  • Notary in Montana or ability to become a notary in Montana (preferred)

This isn’t a remote position. It is an in-office position that is currently Monday-Friday. The schedule is somewhat flexible and adjustable to candidate.

Job Type: Full-time

Pay: $24.00 - $28.00 per hour

Expected hours: 35 – 40 per week
