JOB DESCRIPTION
The Client Onboarding Lead is a key role on an integrated team of accounting professionals that work together to deliver on kept.pro's mission: providing small businesses with the financial information and insight they need to compete in their respective industries. This position will need to exercise independent judgment and discretion in matters of significance that will impact both our clients and our financial wellbeing. You are a critical thinker and will jump in to solve problems and create solutions for new or unique solutions. The Client Onboarding Lead is highly proficient with using technology and quickly learns new technologies and can apply learnings to client situations.
You are responsible for onboarding New Clients and managing the completion of their onboarding activities within 90 days. This includes: leading client calls, managing project plans of multiple clients simultaneously, communicating with clients on onboarding progress, and completing accounting tasks associated with onboarding. You are proficient with accrual accounting practices. The COL is an exceptional communicator and demonstrates patience and empathy with clients to optimize their experience throughout the onboarding process while managing to deadlines. You are comfortable managing a project team through influential leadership.

OBJECTIVES OF THIS ROLE

  1. Complete New Client Onboarding within 90 days for each client
  2. Execute onboarding tasks and document esoteric processes
  3. Utilize communication and resource allocation to ensure a positive client experience during onboarding

DAILY AND MONTHLY RESPONSIBILITIES
  • Using independent judgment and discretion to accomplish client goals
  • Facilitate communication (email, video, phone) with New Clients during onboarding process
  • Create, distribute and manage client meeting agendas; lead client meetings during onboarding process; manage onboarding timeline
  • Make, track and manage client information requests
  • Collaborate/negotiate with Pod leadership to resource and prioritize onboarding tasks in support of onboarding timeline
  • Communicate/advocate policy changes to client (e.g. permissions changes)
  • Track and report on onboarding status across all clients in onboarding
  • Create and/or update Chart of Accounts following best practices
  • Perform or validate third-party platform integrations within QuickBooks Online
  • Responsible for 90% of onboarding activities to be completed within 90 days
  • Research/learn and/or earn certifications in third-party platforms to support integration with QuickBooks Online
  • Document existing or proposed accounting processes to support recurring monthly activities
  • Conduct accounting cleanup activities to support onboarding
  • Validate opening balances
  • Train client services team on client specific processes
  • Assisting team members on special projects as required

SKILLS AND QUALIFICATIONS
  • Experience working with multiple clients / entities
  • 6+ years bookkeeping or accounting experience
  • A Bachelor's degree in finance, accounting, or related field is preferred
  • 1+ year project management experience or equivalent training is preferred
  • Exceptional attention to detail, ability to manage multiple tasks, and finish projects within a specified timeframe
  • Comfortable with managing competing priorities and delegation
  • A high comfort level engaging with clients
  • Analytical thinker that is skilled in creative problem solving
  • Excellent organizational, oral, written, and interpersonal skills
  • Ability to remain highly self-motivated, organized, and adaptable
  • High comfort level with leadership / ability to influence in dotted line reporting relationships
  • The ability to collaborate using current tools and technology, including QuickBooks Online
  • Reside in Central Time
