Position Description Summary/Purpose:

This position assists with the daily operations of the Registrar Office. The Academic Records and Registration Specialist is responsible for processing student add, drop, and withdrawal requests while maintaining a high level of customer service. This position is also responsible for setting up and managing the registration process each semester.

Essential Job Functions/Primary Responsibilities:

  • Updates student records accurately and with all proper documentation in a timely manner
  • Responds to questions from students, staff, and/or faculty regarding established procedures governing any of the following areas: registration, course scheduling and availability, waitlist management, etc.
  • Identifies registration dates in alignment with the university calendar, sets up registration schedules in the student database, and confirms student registration priority level
  • Performs a daily course reconciliation
  • Processes cancelled course notifications, student pre-requisite overrides, and registration waitlist notifications; registers students for waitlisted classes
  • Prepares annual pre-requisite list and runs the pre-requisite process each semester and module

Other Functions

  • Performs similar or related work as departmental needs arise
  • Assists in the update of departmental policies and procedures
  • Assists in the preparation for audits, as needed

Knowledge, Ability and Skill:

  • Requires excellent prioritization and organizational skills
  • Need for adaptability and excellent customer service
  • Ability to maintain confidentiality of student records and related documents
  • Proficiency in Excel, Word, and student databases

Minimum Required Qualifications:

  • Bachelor’s degree
  • A minimum of 3 years’ experience in higher education or related field preferred

Salary Range: 

  • $40,000 - $43,000
