Position Information

Job Title Academic Records and Compliance Coordinator (hybrid potential) Position Purpose
The Academic Records and Compliance Coordinator oversees records compliance around enrollment and student records. The position coordinates the reporting of student enrollment and degree completion to the National Student Clearinghouse and manages the day-to-day processing of transcripts. Additionally, the position oversees the maintenance of student data based on retention practices for historical paper Records and participates in the management of current electronic materials. The position will also serve as a School Certifying Official for VA and military education benefits. As part of the Registrar's Office team, performs a variety of administrative tasks related to course creation, faculty payment, and student registration.
Essential Duties Summary
  • Coordinate reporting to the National Student Clearinghouse for all students at New England College to include:
    • Enrollment reporting for all active students to include the development of the transmission schedule to meet required timelines and correcting data errors identified during the reporting process;
    • Reporting graduated students through DegreeVerify;
    • Processing Enrollment Verification requests.
  • Supervise the issuing of transcripts and enrollment verifications including issuing documents for current and former students. Assist the Registrar with responses to records requests and year-end audit requests for enrollment reporting, as needed;
  • Ensure compliance with all applicable NEC and Federal policies and regulations regarding file maintenance, security, and accessibility for paper and electronic student records;
  • Maintenance of student records to include plagiarism reports, processing grade and major changes, registration, and withdrawals. Monitors student records for duplicate IDs and reconciles as needed;
  • Oversee the processing of Directed Studies, Internships, and Independent Studies including registration and processing of EAN payment paperwork;
  • Serve as primary contact for non-degree students enrolling in college courses and participate in general office coverage including Registrar's Office phones, emails, and walk-in inquiries;
  • Assist with SIS data entry and validation, including student programs, biographical information, and select attributes. Perform system testing for upgrades;
  • Lead the Banner registration set-up process for terms in the academic calendars;
  • Serve as a School Certifying Official for VA and military educational benefits as needed;
  • Other duties as assigned.
Required Qualifications
Education
  • Bachelor's degree or equivalent experience within an academic environment.
  • Master's degree preferred.

Experience
  • 4-6 years in a Registrar's Office or related field.

Skills and Knowledge
  • Attention to detail;
  • Strong organizational skills;
  • Problem solving and data management skills;
  • Experience with Excel and Microsoft Office 365;
  • Excellent communication skills.
Preferred Qualifications
  • Experience with National Student Clearinghouse/NSLDS reporting;
  • Banner or related SIS system.
