Job description

Coordinates a variety of duties for a department/office in which discretion and judgment concerning the procedures to use or policies to follow is required.
Essential Functions:
Responsible for College Personnel Review Process for Tenure Track Faculty
  • Creating Personnel Memos and sending to Faculty and appropriate departments within the University
  • Creating Personnel Portfolios in Digital Measures (DM), including creating portfolios, uploading recommendations from Unit, College Personnel Committee (CPC), and Dean, Running and disseminating Personnel Review Reports
  • Disabling and Enabling faculty accounts in DM as appropriate during the review process
  • Supporting CPC, including scheduling meetings, filling out counts for CPC chair, assembling files for CPC review
  • Compiling appropriate forms/documents and sending packets to Provost Office
  • Utilizing College Access Database to pull appropriate faculty and updating Database with decisions once received
Responsible for Sabbatical process in the college, including creating letters to notify faculty of sabbatical eligibility, tracking applications and decisions, updating files, and updating College Database as appropriate
Responsible for organizing and maintaining all faculty member information in Digital Measures
  • Work with IT and Campus Coordinator to implement necessary changes
  • Generate required reports
  • Act as a liaison between the academic units, PCEC and the rest of the GVSU campus community and assist with coordinating faculty training
Responsible for PCEC vehicle
  • Scheduling maintenance/repairs, including coordination with Risk Management regarding insurance claims
  • Reservations
  • Maintaining vehicle database
Support receptionist duties as needed including receiving visitors, answering the telephone, answering email, taking messages and composing responses to standard inquiries
  • Occasionally make and confirm travel arrangements.
  • Occasionally co-ordinate special events on campus
Support the Occupational Safety and Health Department
  • Responsible for the tracking and reconciliation of Accounts (Administrative (approximately $262,000 yearly) and Faculty Development (approximately $1800 yearly))
  • Responsible for the tracking and reconciliation of OSH purchasing card
  • Set up, coordinate, send out and compile student evaluation Surveys for all OSH courses at times of graduation and internship for credit.
  • Responsible for organizing and maintaining all assessment, accreditation and supporting documents using GV Assess as appropriate
  • Documents include internship employer and student evaluations; employer, graduating senior and alumni surveys as well as meeting minutes
  • Generation of required reports as noted in assessment schedule.
  • Strategic plan tracking and reporting
  • Support annual course scheduling
  • Support faculty, including meetings/appointments, schedule changes, grade changes, faculty hiring process
  • Hire and supervise student and temporary workers
  • Process student major and minor declarations as well as secondary admission.
  • Social media and Website
  • Schedule student appointments
  • Textbook and supply orders
  • Coordinate special events
  • Post and track OSH internship opportunities in internship database
Support the Professional Science Masters Coordinator
  • Responsible for the tracking and reconciliation Accounts
  • Administrative (approximately $110,000 yearly)
  • Internship Mini Grant (approximately $2,000 yearly)
  • Responsible for the tracking and reconciliation PSM purchasing card
  • Facilitate paperwork for and hiring of graduate assistants
  • Support annual course scheduling
  • Textbook and supply orders
  • Coordinate special events
  • Responsible for updating perching room schedules
Required Qualifications
  • High school graduate or equivalent.
  • Minimum of three years of relevant work experience.
  • Experience with various computer software applications such as Microsoft Office and/or equivalent.
  • Demonstrated experience to successfully operate office equipment.
  • Data entry experience.
  • Typing and spelling competency with grammar and proofreading skills.
  • Possess strong verbal and written communication skills.
  • Demonstrated experience to successfully provide quality customer service.
  • Demonstrated experience to successfully work independently, organize own work and coordinate work activities of others.
  • Ability to work under pressure and meet deadlines.
  • Demonstrated experience to successfully maintain satisfactory work performance and attendance records.
  • Ability to successfully maintain positive intercultural and interpersonal relationships.
Preferred Qualifications
  • Some college coursework.
  • Experience in higher education.
  • Supervisory experience preferred.
SUPERVISION RECEIVED
  • Receives general instruction from a designated supervisor but is generally expected to work independently.
SUPERVISION EXERCISED
  • Hire, train, schedule and coordinate the work of student employees and may act as lead worker to PSS staff members within the department/unit/division.
Salary: C-3 Level. Minimum starting salary of $18.95
