Description
SUMMARY
Under the direction of the FPA Supervisor, the Youth Services Coordinator is responsible for administrative and reporting functions of the Very Important Arts and Pre-ETS Programs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
  1. Coordinate VIA and Pre-ETS School scheduling.
  2. Recruit for enrollment in VIA and Pre-ETS programs.
  3. Enter time and attendance data, manage mentor timecards.
  4. Maintain program schedule, meetings and calendar.
  5. Work with FPA Supervisor to integrate scheduling of Teaching Artists.
  6. Perform applicable accounting functions for programs (i.e. purchase orders, check requests, billing).
  7. Maintain program inventory and supplies; order supplies.
  8. Maintain the filing system including training records and computer records to ensure all information is secure and easily retrievable.
  9. Complete program updates and attendance reports.
  10. Answer and respond to telephone calls and e-mails.
  11. Prepare weekly and monthly reports and spreadsheets.
  12. Perform other duties as assigned.
  13. Coordinate and support activities and programs for both students and adults with disabilities.
  14. Complete required reports and updates.
  15. Maintain VIA and Pre-ETS budget for both calendar and fiscal year.
  16. Assist with additional administrative tasks as needed.
  17. Other duties as assigned.

SUPERVISORY RESPONSIBILITIES
This position has no supervisory responsibilities.
Position Requirements
SKILLS REQUIRED
  1. Computer literate.
  2. Must possess basic math skills (i.e. adding, subtracting, etc).
  3. Ability to read, analyze and interpret written information.
  4. Ability to communicate effectively with individuals, co-workers and supervisors (verbal and written).
  5. Must possess social perceptiveness to assess and understand other's reactions and behaviors.
  6. Ability to define problems and draw valid conclusions.
  7. Ability to interpret instructions, gain knowledge and have initiative.
  8. Ability to maintain strict confidentially.
  9. Ability work with individuals with developmental disabilities.
  10. Must encompass professional demeanor.

EDUCATION AND EXPERIENCE
  • Required: High School Diploma or equivalent.
  • Required: One (1) year work experience in a clerical position required.
