The Workplace Experience Coordinator will oversee onsite support dashboard operations, ensuring a seamless and client-centric office experience under the guidance of the Workplace Experience Manager. Duties include coordinating service requests, managing client preferences, facilitating feedback, and optimizing traffic flow between the mailroom, meeting space vendors and floor ambassadors.

Schedule: Business hours are typically Monday - Friday, employees are typically scheduled for 8 hours within this timeframe. Flexibility outside of these hours highly preferred.

What you will be doing:

  • Serve as the central point of contact for service requests between many floors and the mailroom, efficiently distributing service request tickets to relevant floor ambassadors.
  • Monitor and track service requests, ensuring timely follow-up and resolution.
  • Collaborate closely with the Workplace Experience Manager, Office Manager, Practice Assistant, and Senior Team Lead (PA/STL) to streamline service delivery processes.
  • Cross-train and provide coverage and lateral service as needed within the Ambassador team.
  • Update and maintain the client preference profile log, ensuring it evolves with changing preferences.
  • Foster positive relationships with clients, understanding their unique needs and preferences.
  • Collaborate with the SPS team, manager, and floor ambassadors to address recurring workflow issues and report to SPS Manager to implement enhancements.
  • Contribute to the creation of a positive and evolving client experience with support from SPS Management team.
  • Continuously update and maintain the client preference profile, ensuring accurate and evolving information.
  • Collaborate with direct manager and internal teams to introduce innovative and personalized service points based on client preferences.

What we need from you:

  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Proven experience in a client-facing role within a corporate or hospitality setting.
  • Effective communication, interpersonal, and problem-solving skills.
  • Professional appearance and demeanor, with a welcoming and multitasking nature.
  • Efficient traffic management skills between the mailroom and floor ambassadors.
  • Tech-savvy with the ability to adapt to various software and systems.
  • Flexibility to thrive in a fast-paced environment.  Customer service, call center, or hospitality certification is a plus.
  • Creative, proactive, and results-oriented with strong organizational and collaboration skills.
  • Ability to prioritize and execute tasks effectively under pressure.
