Job Description
ZTEX Construction is a heavy civil contractor specializing in earthwork, concrete, asphalt paving, underground utilities and overall project management. We are locally owned, and we are currently looking for a Work Order Clerk and Dispatcher. The ideal candidate will be knowledgeable, professional, energetic, proactive, a collaborator, willing to learn and grow with the company, and overall be a team player.
The Work Order Clerk and Dispatcher is responsible for intaking all Work Orders, entering into the system, scheduling and dispatching all Work Orders. Work Order Clerk and Dispatcher relays all messages and information to or from work crews, supervisors, contractors, city, and county officials.
Duties and Responsibilities:

- Scheduling and dispatching drivers, work crews, vehicles or equipment to appropriate locations according to predetermined schedules, customer requests or immediate needs.
- Relaying information such as Work Orders or other messages to and from work crews, field inspectors, supervisors, or emergency personnel.
- Using telephones, two-way radios, phones, or text messages to contact employees and crews.
- Preparing Work Orders for crew or receiving Work Orders from work crews
- Overseeing communications within company assigned crews and jobs.
- Speaking with supervisors or customers to resolve problems, requests for services or equipment.
- Receives, distributes, processes and tracks Work Orders for maintenance and repair of city and county contracts.
- Liaises and coordinates with the maintenance team, dispatches team to work site and ensures Work Order performance meets quality, standards, and requirements.
- Tracks Work Orders and provides feedback to alleviate any concerns related to the status of the Work Order.
- Monitors Work Order and contractor schedules to track and ensure, where possible, contractor timeliness, and communicates the same or changes to the schedule, as relevant, to the occupant.
- Maintains a weekly Work Order schedule, entering Work Order information into the Foundations system to create Work Order application,
- Drafts correspondence and performs general data entry daily, typing, record-keeping and filing.
- Organizes files, creates new files, and keeps track of all Work Orders, purchase orders and invoices.
- Schedules inspections with both city and county.
- Manages relationships with city and county inspectors.
- Prepares, processes and tracks vouchers, payments, and reimbursements.
- Keeping and organizing work requests, customer requests, completed work requests, charges for work performed, expenses for services performed, inventory records and other information.

- Must have working knowledge of Microsoft Office applications.
- Professional phone and email etiquette.

- Bi-Lingual English/Spanish

- Able to work flexible hours when needed to includes, Overtime, Weekends, Evenings
- Must have working knowledge of Microsoft Office applications.

- Experience in Construction a definite plus.
- Bi-Lingual English/Spanish

Experience & Education
High School or GED
- Must have 2 – 3 yrs previous experience in dispatching and managing Work Orders.
- Compensation will be commensurate based on experience (BOE)
Physical Requirements & Environmental Working Conditions
- Must be able to sit for long periods of time.
- Must be able to lift 10 – 20 lbs.
- Must be flexible to work overtime to include weekends when needed.
Additional Qualifying Factors
As a condition of employment, you will be required to pass a pre-employment drug screening and physical screening. If applicable to the contract, you may also be required to submit through a background check. Must have reliable transportation to/from work, must have a valid driver's license at time of application.
