This position is full time, 8 hours per day, Monday through Friday, year round.
Summary
The purpose of this position is to provide secretarial support to the associate principals and deans.
Essential Duties and Responsibilities
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
  • Maintain daily schedules for associate principals, including scheduling appointments and confirming appointments
  • Maintain student schedules and records, access data and organize in a useable format
  • Manage projects under the direction of administration that involves accessing, organizing, and communicating data per the needs of the organization (i.e. attendance monitoring and distribution of various attendance letters, setting of appointments for meetings regarding attendance issues, and parent contact regarding attendance)
  • Monitor the Academic and Behavioral Interventions such as tutoring, ELO, suspensions, behavior plans, PBIS "Cardinal Way" projects including student rewards and recognition
  • Learn and utilize Infinite Campus data system, specifically ad hoc reporting (training provided by district)
  • Set up and utilize Excel spreadsheet to track Attendance data collection
  • Enter daily/weekly data for staff working with PBIS/RtI programs into Infinite Campus and print reports for students at regular intervals (weekly, monthly, quarterly)
  • Create and monitor special SIMS/PBIS reports as needed
  • Inventory and assignment of lockers both at the beginning and throughout the school year
  • Manage after school detention slips, student attendance at detention, and homework for students during detention
  • Support associate principals with organization and implementation of school events, such as graduation, Back to School night, parent-teacher conferences, Course Expo and Career Night, Scholarship Night, and registration days
  • Create letters and other correspondence, records and reports; maintain a file to document all correspondence sent; update generic letter formats being used regularly regarding attendance, disciplinary infractions, suspensions, and expulsions
  • Sort and distribute mail daily
  • Answer telephones, take messages, provide assistance, and direct calls accordingly
  • Provide coverage at other "stations" such as front reception desk, nurse's office, attendance, and student services as needed
  • Other duties as assigned
Minimum Training and Experience Required to Perform Essential Job Functions
High school graduate with three to five years secretarial experience, including computer technical training or any combination of education and experience that provides equivalent knowledge, skills, and abilities. Must hold a valid driver's license.
Minimum Physical and Mental Abilities Required to Perform Essential Job Functions
Physical Requirements
  • Ability to operate a variety of office equipment including personal computer, typewriter, photocopier, calculator, fax machine, telephone switchboard, etc.
  • Must demonstrate proficiency through Skill Check testing (typing speed and accuracy, grammar, proof-reading, MS Office word processing, Infinite Campus and Excel)
  • Must have current physical on file with the District Office certifying applicant is able to meet all job qualifications
Mathematical Ability
  • Ability to add, subtract, multiply, divide and calculate decimals and percentages
Language Ability and Interpersonal Communication
  • Ability to comprehend and interpret a variety of documents including absence requests, conference and workshop records, student schedules, class rosters, grade scan forms, course requests, grade changes, special program files, routing slips, computer and other equipment manuals, etc.
  • Ability to prepare a variety of documents including report cards, honor roll, failure reports, transcript labels, class rank, student schedules, room utilization records, teaching schedules, master schedules, class rosters, mailing labels, telephone log, postage log, etc., using prescribed format and conforming to all rules of punctuation, grammar, diction and style
  • Ability to record and deliver information, explain procedures and follow instructions.
  • Ability to use and interpret accounting terminology
  • Ability to communicate effectively with Principal, teaching staff, department coordinators, building staff, district employees, students, parents, general public and others verbally and in writing
