Who is Sunset Coast Events?

Sunset Coast Events is an event management company that provides multiple event- related services to spaces across Southwest Michigan. We offer these wedding industry services within our two brands:

1928 Planning Co

- Wedding Planning + Coordination

- Decor and Rental Items

- Lighting Design

- Client Management

White Space Events

- Wedding venue sales for The Vineyard at 12 Corners + The Mendel Center

- Event Logistics (ex: event setup and clean up)

- Venue Management

What this position will offer you:

o Direct client and guest interaction is one of the main roles of this position. We serve roughly 10,000 people each wedding season, so repeated interactions will build a strong set of service skills.

§ There are so many avenues of an event that make it a success. We offer something unique where you’ll have exposure to several pillars of an event’s process from start to finish.

o Time management, logistics operations, execution, and event organization will be strengthened through our roughly 80 - 100 weddings each season and an additional 40 – 60 private events. This immersion will hone your organizational and time management skills.

o Vendor relationship building: You will work with florists, caterers, dj’s, photographers, bartenders, etc. on a regular basis and will build lasting relationships with true professionals.

o Event design experience: Partaking in regular set up and tear down of decoration.

o It takes an army to create an event, and this position is expected to work with other members of our team as one united front.

- PREVIOUS EVENT EXPERIENCE

o Relatable event experience is highly preferred. We are looking for a candidate who understands industry lingo, customer service expectations as they relate to events, and a common understanding of the work it takes for a successful event.

Additional Information:

- This is a part-time, year-round role with even more hours available during our high event season May – October.

- Shifts have the possibility of being scheduled all days of the week, but with most focus happening on Thursdays, Fridays, Saturdays and Sundays. An expectation of working weekend hours and evenings is a must.

- Location of shifts will usually be at the Vineyard at 12 Corners, Solarium by Watermark, The Mendel Center, or at our storage facility in Benton Harbor, MI. If we ask that you travel to additional venues, mileage reimbursement will be offered.

o Required to have reliable source of transportation to travel in local Southwest Michigan region.

- Shift times will vary based on event circumstances and rotation of which brand under Sunset Coast Events you are shifted for that particular day.

o Although start times of shift vary widely, most shifts average 7 – 9 hours in length.

o Hours may start as early as 8:00am and end as late as 1:00am.

- Schedules are given a month in advance. You will be scheduled an average of 2-3 shifts per week, (potentially more at times) depending on event schedule.

o We work well with team members who balance this job with another commitment in requesting time off, or needing flexible hours.

o For those fulfilling internships: option to have in-office weekday experience is available upon request, but will be unpaid.

- Position requires the ability to lift a minimum of 30 pounds on a regular basisand labor-related tasks will be asked of you.

- Personal phone use required for this position.

- All-team meetings are scheduled monthly as a way to continue training and meet as a group. Dates will be given at start of season. Attendance at meetings is mandatory.

- Hourly compensation will vary based on the brand you are shifted with and/or the experience you bring to the team. Payment is dispersed bi-weekly.

o Once we review your resume, we can share the hourly rate offering.

o Opportunity for occasional gratuity from clients served and mileage reimbursement when visiting alternate venues will be possible.

Position Duties:

- Your position will expose you to shifts varied amongst both brands of Sunset Coast Events. Time, type of shift and location will all vary so your exposure is wide-spread and will be spread between the two brands as evenly as possible with event schedule and your availability. It is required that those that accept this position work in both brands.

Outlined duties for each type of shift/brand is listed below.

Event Coordinator shift with 1928 Planning

- The hub of event information for the assigned venue, and acts as a source of answers for the client/couple, guests and vendors. You are one of the main contacts for all vendors that are onsite.

- Leading the timeline for the vendors and the client, making sure the guest experience and vendor experience are both comfortable and happy throughout the course of the event.

- Depending on the optional services the clients might elect with us to make their experience in planning and day of more well rounded, the coordinator may also partake in the additional duties:

o Decoration setup or decoration clean up, ceremony assistance, placement of rental items, setting up of place-settings, etc.

- Handle finishing touches as it relates to the overall presentation of the venue and in turn, our reputation for quality standards and a successful send off experience.

o Examples: Assisting with the layout schematic, cleanliness of venue grounds, tables linens, vendor arrivals, last minute updates from client, etc.

- Assist at alternate event venues that are not owned by White Space Events. We service dozens of other venues each season.

o Some of these venues we are in partnership with to offer client management services too (Solarium by Watermark and Krasl Art Center).

Logistics shift with White Space Events

- White Space Events operates The Vineyard at 12 Corners, a successful outdoor tented wedding venue and the Mendel Center, a successful private events space, both in Southwest Michigan.

- Event logistics shifts are the foundation for the events held there. They are the behind the scenes team that sets the events up for success, either in the days leading up to, or following an event, or day of, before the guest appear onsite.

- Duties include: wedding equipment setup (this includes tables, chairs, and lighting), and its tear down by following reception or ceremony layout schematics and written checklists, taking care of the venue's presentation and cleanliness/keptness, and assisting with inventory management for equipment and 1928 rental items.

- Ability to repetitively move medium weight objects (tables, chairs, signs, lights, and 1928 rental furniture) is required, typically completed with another individual.

- We are seeking a candidate who can be comfortable with occasional performing duties on a ladder to install lighting.
