Title: Weber Communities that Care (CTC) Assistant Coordinator

Reports to: Weber CTC Coordinator

About Weber CTC: The Weber Communities That Care Coalition (Weber CTC) strengthens youth, families, and our community by prioritizing underage substance use prevention and mental health promotion. Goal: Weber CTC is structured as a department within the UWNU’s Community Resource Team. This position is a highly visible leadership position in the Weber High School cone (WHS and its feeder schools), which can also be defined as the cities of North Ogden, Pleasant View, Harrisville, and Ogden Valley. The Assistant Coordinator position interacts with key community leaders, nonprofit and government agencies, an extensive volunteer base, and other stakeholders to facilitate program goals and objectives.

Key Responsibilities:

1. Perform administrative tasks for the Coalition Workgroups, Committees, and Boards, to ensure materials are ready for meetings. This may include one or more of the following:

a. Coordinate, schedule, help with logistical arrangements, and follow up on assignments for/from meetings, training events, etc.

b. Send reminders and agendas for meetings to applicable members.

c. Track attendance, take minutes, transcribe, and disseminate minutes for all Weber CTC meetings as deemed necessary by the chair/workgroup chairs.

d. Compile and keep member rosters updated with current information on all coalition members.

e. Collect and tabulate Weber CTC member volunteer hours, track donations, and provide updates to the Funding Workgroup as requested.

2. Enter and track all data necessary for reports. Ensure all data is submitted on time and ready for use on grant reporting, progress reporting, area plans, and outcome tracking.

3. Assist the Weber CTC Coordinator with monthly, quarterly, and annual grant reports.

4. Collaboratively serves as a front-line representative for the Weber CTC coalition with the coordinator to build engaged and working relationships with community leaders, agencies, volunteers, and other stakeholders. Travel throughout the designated Weber cone area is a requirement of the job. This duty may include:

a. Meeting with local officials, school district leaders, and others to promote community-wide buy-in for the CTC program or strategies

b. Coordinating public and other group presentations

c. Tabling at community events

d. Facilitating the preparation and release of survey information to the community

e. Coordinating IT setup for meetings

5. Recruit, retain, and work with volunteer coalition members

a. Oversee community volunteer coordination and communications

6. Work with the coordinator and coalition to develop short and long-term goals for the Weber CTC program and ensure that the goals of the Coalition’s action plan are achieved.

7. Answer incoming calls, emails, social media, and website messages.

8. Assist volunteers in meeting and event preparations and setup.

9. Work with people from a wide variety of levels, from youth to administration to elected officials.

10. Attend training in identified prevention and community coalition subjects and programs focused on substance use and suicide prevention.

11. Other duties as assigned. Required Competencies:

Position Requirements:

● Ability to develop and maintain community partnerships.

● Exceptional written and verbal communication skills.

● Able to operate standard office equipment.

● Must be proficient in the use of Microsoft Office and Google Suite.

● Demonstrated ability to handle stressful situations, negotiate and resolve conflicts, maintain confidentiality and respect, and observe organizational protocol.

● Ability to perform responsibilities with integrity, aligning with the mission, vision, and values of UWNU.

● Ability to maintain a flexible work schedule, adjust as required by changing activities and events, and travel to work in a variety of locations throughout Northern Utah.

● Must possess a valid driver's license, current auto insurance, and daily access to a reliable vehicle.

● Will be required to work longer or irregular work hours seasonally including holding meetings in the evening, or overnight travel for activities or training.

● Must be able to lift 50 lbs. to assist with setting up for events and activities. Must be able to perform strenuous activities that require strength, stamina, and overall good health. May be required to stand for long periods of time.

● A background check will be required due to working with the Weber CTC Youth Council.

Preferred Requirements:

● Some experience in prevention, social work, public health, or related field preferred Wage: $19-$23 hourly

Location: Hybrid - 50/50 (50% of time spent working remotely and 50% of time spent in the Weber Country area for in-person meetings and events).

Hours: Part-Time (20-25 hours per week)
